About the Role
Optimus Property Management is looking for a detail-oriented, personable Administrative Assistant / Bookkeeper to support our office operations, accounting functions, and property management and maintenance teams. This is an entry-level bookkeeping position, ideal for someone with foundational QuickBooks experience who is looking to grow their accounting and office administration skills in a fast-paced, hands-on environment.
Requirements
What You'll Do
Front Office & Administrative Support
  • Answer and direct incoming phone calls
  • Greet guests and visitors, and direct tenants to the appropriate team member
  • Return orders and packages at Amazon, FedEx, and UPS drop-off locations
  • Schedule notary appointments as needed
  • Order equipment and supplies for property managers and maintenance teams
  • Provide general administrative support across the office

Bookkeeping & Accounting Support
  • Scan and post tenant checks
  • Process and pay bills
  • Create, post, and reconcile journal entries in accordance with standard accounting practices
  • Perform reconciliations for bank accounts, credit cards, loans, and other financial records to ensure accuracy
  • Support day-to-day bookkeeping and financial recordkeeping

What We're Looking For
  • Minimum 2 years of QuickBooks experience
  • Strong working knowledge of QuickBooks and Microsoft Excel
  • Comfortable creating, posting, and reconciling journal entries
  • Strong organizational skills and attention to detail
  • Friendly, professional communication style - both in person and on the phone
  • Ability to multitask and prioritize in a busy office environment
