Job description

We are seeking a detail-oriented and experienced Payroll Specialist to join our team!

(Not an entry-level position)

Responsibilities

  • Process weekly/bi-weekly payroll for all employees with accuracy and confidentiality
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws
  • Maintain and update employee payroll records (new hires, terminations, pay changes, deductions, etc.)
  • Review and verify timesheets, attendance records, and overtime calculations
  • Handle payroll-related inquiries and resolve discrepancies promptly
  • Prepare payroll reports for accounting and management
  • Manage benefit deductions, garnishments, and PTO accruals
  • Assist with year-end processes such as W-2 and 1099 preparation
  • Collaborate with HR and Finance teams to ensure data accuracy and alignment
  • Maintain knowledge of payroll best practices and regulatory changes.

Qualifications

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Accounting, HR, or related field preferred
  • 2+ years of payroll experience (or equivalent combination of education/experience)
  • Strong understanding of payroll laws and regulations
  • Proficiency with payroll software (e.g., Inova, Case Magic, QuickBooks)
  • Excellent attention to detail and organizational skills
  • Ability to handle confidential information with discretion
  • Strong communication and problem-solving abilities
  • Familiarity with MS Office (especially Excel, Pivot Tablets, LibreOffice)
