Job description

We are seeking an experienced Payroll Coordinator with Staffing Industry experience to join our Great team in Ontario, CA! Staffing Industry payroll experience required. VMS Payroll experience preferred.

This position is responsible for processing high-volume payroll for associates, ensuring payroll accuracy, maintaining compliance with company policies, and providing exceptional support to branches, clients, and associates.

The ideal candidate will have experience in the staffing industry, possess strong payroll processing skills, and preferably have experience supporting Vendor Management System (VMS) accounts. 

This is NOT a remote position.

Essential Duties and Responsibilities:

Payroll Entry

  • Enter weekly payroll accurately and timely for associates, contract, and direct-hire employees.
  • Review payroll reports and audit data prior to payroll submission.
  • Verify hours worked, pay rates, deductions, reimbursements, and adjustments.
  • Research and resolve payroll discrepancies and employee pay inquiries.
  • Submit payroll corrections, adjustments, and off-cycle payroll requests as needed.
  • Ensure payroll deadlines are consistently met.

VMS Payroll Support

  • Support payroll entry for VMS client accounts.
  • Review client-approved time records and reconcile payroll data.
  • Assist with payroll reporting and remittance verification.
  • Work with branches, clients, and internal departments to resolve payroll discrepancies.
  • Monitor pay rates and assist with rate reconciliation processes.

Client & Branch Support

  • Serve as a payroll resource for branch teams and client contacts.
  • Respond promptly to payroll-related inquiries.
  • Maintain professional communication with clients, associates, and internal departments.
  • Assist branches with payroll procedures and troubleshooting.

Compliance & Documentation

  • Maintain payroll records and support documentation.
  • Ensure compliance with federal, state, local, and wage-and-hour regulations.
  • Save payroll approvals, reports, and backup documentation according to company procedures.
  • Assist with internal audits and reporting requirements.

Administrative Duties

  • Generate payroll reports and payroll-related documentation.
  • Update employee information and payroll records as needed.
  • Assist with special payroll projects and process improvements.
  • Support year-end payroll activities and reporting.

Qualifications:

Required

  • Minimum 2 years of payroll experience.
  • Staffing industry experience preferred.
  • Experience processing high-volume payroll.
  • Strong attention to detail and organizational skills.
  • Excellent customer service and communication skills.
  • Ability to prioritize multiple tasks and meet strict deadlines.
  • Proficiency in Microsoft Excel, Outlook, and Microsoft Office Suite.

Preferred

  • Experience with VMS/MSP payroll accounts.
  • Experience with Beeline, Coupa, SAP Fieldglass, or similar VMS platforms.
  • Knowledge of staffing software such as BTE, Bullhorn, AviontĂ©, TempWorks, or similar systems.
  • Understanding of payroll tax regulations and wage-and-hour laws.

Education

  • High School Diploma or GED required.
  • Associate’s degree in business, Accounting, Human Resources, or related field preferred.

Compensation & Benefits

  • Competitive base pay of $22.00hr - $27.00hr depending on experience
  • Compensation is determined based on job-related skills, experience, internal equity, and geographic location. This role may also be eligible for overtime (if non-exempt), bonuses, commissions, or other incentive pay, depending on the position.
