Job description

Operations Administrator

Location: Charleston, SC (Onsite)

Sales Focus Inc. (SFI), the pioneer and global leader in sales outsourcing, is seeking an organized, analytical, and detail-oriented Operations Administrator to join our growing team.

This role is responsible for supporting the day-to-day operational needs of multiple sales campaigns by managing HubSpot CRM, maintaining reporting, building and optimizing workflows, coordinating client communications, and ensuring operational excellence across internal teams. The ideal candidate thrives in a fast-paced environment, enjoys solving problems, and has a passion for process improvement and data accuracy.

Key Responsibilities
  • Administer and maintain HubSpot Sales and Marketing Hub.
  • Build, manage, and optimize HubSpot workflows, sequences, lists, pipelines, and automation.
  • Develop and maintain executive dashboards and client-facing reports.
  • Track sales activity, KPIs, quotas, commissions, and campaign performance.
  • Analyze operational data and identify trends, gaps, and opportunities for improvement.
  • Manage CRM data integrity, imports, exports, and ongoing data cleanup.
  • Coordinate internal project kickoffs and client launch meetings.
  • Serve as a primary operational point of contact for assigned clients, providing reporting, updates, and ongoing support.
  • Maintain campaign documentation, training materials, pitch books, and standard operating procedures.
  • Track staffing information, employee performance metrics, and campaign resources.
  • Coordinate new employee onboarding, including equipment, system access, and operational setup.
  • Manage equipment inventory and auditing.
  • Organize and maintain internal files, documentation, and shared resources.
  • Collaborate with Sales, Marketing, Recruiting, and Operations to improve processes and support client success.
  • Assist leadership with special projects and operational initiatives as needed.
Qualifications
  • 2–4 years of operations, sales operations, CRM administration, or business administration experience.
  • Advanced proficiency in HubSpot Sales Hub and Marketing Hub.
  • Experience building workflows, automation, sequences, and reporting within HubSpot.
  • Strong Microsoft Excel and Microsoft Office skills.
  • Experience creating reports, dashboards, and analyzing business data.
  • Excellent written and verbal communication skills with the ability to interact professionally with clients.
  • Exceptional organizational skills with strong attention to detail.
  • Ability to manage multiple priorities while meeting deadlines.
  • Comfortable presenting information in virtual meetings.
  • Experience with lead management, CRM administration, and data cleansing is preferred.
  • HubSpot certifications are a plus.
