Description

Office Assistant

Indianapolis, Indiana

Full-Time  Non-Exempt  On-Site Reports to Office Manager

Do you thrive in a fast-paced environment where no two days are the same? Are you the person who can juggle five things at once, make every caller feel heard, and still keep the whole operation running smoothly behind the scenes?

If you've spent time as a server, barista, front desk associate, or in any role where you had to stay calm, stay organized, and deliver great service-you already have the core skills we're looking for. No office experience required. No degree required. Just a professional attitude, a warm phone presence, and a genuine desire to be part of something meaningful.

If that sounds like you, we'd love to meet you.

Why This Role Is Worth Your Attention

We manage comprehensive health, pension, and annuity programs for 3,500+ active members and 1,500+ retirees-hardworking tradespeople and their families who count on us every day. As our Office Assistant, you'll be the welcoming voice and organizing presence that keeps everything running smoothly.

What Makes This Opportunity Stand Out

  • Competitive Salary: $18-$20 per hour, commensurate with experience
  • 100% Employer-Paid Health Insurance: Medical, dental, and vision for you and your family
  • Defined Benefit Pension Plan: Employer-funded retirement you can count on
  • 401(k) with 3% Employer Match
  • Health Reimbursement Account (HRA)
  • Paid Time Off & Paid Holidays
  • Monday-Friday schedule: No evenings, no weekends, no holidays
  • Stable, mission-driven environment: A team that values your growth and longevity
About Sheet Metal Workers Local 20 Benefit Funds

We are the administrative office responsible for managing employee benefit programs for members of Sheet Metal Workers Local No. 20. Our small, dedicated team handles health, pension, annuity, and related benefit plans-ensuring every member and retiree receives what they've earned. Our office is located on the south side of Indianapolis at 8150 Madison Avenue, and we're proud to have team members who have built long, fulfilling careers right here with us.

What You'll Do

As our Office Assistant, you'll be the first point of contact for every caller and visitor-the person who sets the tone for the entire experience. You'll keep multiple tasks moving at once, support the team across departments, and make sure nothing falls through the cracks. Sound familiar? It should-it's basically what you've already been doing.

  • Answer incoming calls promptly and professionally; direct calls, take messages, and answer general questions with warmth and accuracy
  • Greet and assist walk-in members, retirees, and visitors-often handling multiple requests at the same time
  • Manage correspondence, including sorting mail, sending emails, and preparing standard communications
  • Perform data entry and maintain accurate records in our benefit management system
  • Process and organize incoming documents and forms
  • Support the Office Manager and department staff with scheduling, filing, copying, and other administrative tasks
  • Assist with preparing mailings and member notices
  • Help maintain a clean, organized, and professional office environment
  • Step in wherever needed-this is a small team, and flexibility matters
What We're Looking For

We're not looking for someone with a specific degree or years of office experience. We're looking for a person-someone who shows up, communicates well, takes pride in their work, and genuinely enjoys helping people.

You're a great fit if you:

  • Have worked in hospitality, food service, retail, customer service, or any fast-paced, people-facing environment
  • Can answer the phone professionally and handle multiple lines or requests without losing your cool
  • Are organized and detail-oriented-you don't let things slip
  • Can multitask effectively without sacrificing quality or warmth
  • Communicate clearly and professionally, both in person and in writing
  • Are comfortable with basic computer skills (Microsoft Office, email, data entry)
  • Have a reliable, positive attitude and take your commitments seriously
  • Want a stable, Monday-Friday role where you can grow and stay long-term

Nice to have (but not required):

  • Prior office, administrative, or clerical experience
  • Experience with multi-line phone systems
  • Familiarity with union or benefit fund environments

Education: No degree required. High school diploma or GED preferred.
