HR Coordinator
Department: Human Resources
Overview:
Ryan Fireprotection is looking for a detail-oriented and people-focused HR Coordinator to join our growing team. In this role, you will split your time equally between core human resources functions and delivering a structured, welcoming onboarding experience for new team members. You will be a key point of contact for employees from their first day forward, helping to build the strong, reliable culture we are known for.

Key Responsibilities:
HR Functions (50%)
  • Maintain accurate and up-to-date employee records in the HRIS system
  • Support benefits administration including enrollments, changes, and employee inquiries
  • Process new hire paperwork and ensure compliance with all federal, state, and local requirements
  • Help administer company policies and respond to general HR questions from employees
  • Support performance review cycles by tracking timelines and collecting documentation
  • Assist with HR reporting, audits, and data integrity checks
  • Contribute to HR projects and initiatives as directed by the HR Manager
Onboarding Functions (50%)
  • Help assist the Onboarding Manager with the onboarding experience for all new hires across all offices
  • Coordinate pre-boarding communications and ensure all materials, equipment, and access are ready on Day 1
  • Facilitate new hire orientation sessions covering company culture, and other HR processes
  • Serve as the primary point of contact for new employees during their first 90 days
  • Partner with department leads and field supervisors to ensure role-specific onboarding plans are followed
  • Collect and act on new hire feedback to continuously improve the onboarding program
  • Track onboarding completion milestones and maintain accurate records
  • Support compliance coordination for all new team members
Requirements:
  • 0-2 years of experience in HR, onboarding, office coordination, or a related role
  • Post-secondary education in Human Resources, Business Administration, or a related field — or equivalent practical experience
  • Strong organizational skills with the ability to manage multiple priorities without dropping the ball
  • Clear and professional communicator — written and verbal
  • Comfortable working with HRIS platforms and Microsoft Office (Word, Excel, Outlook)
  • Approachable and people-first mindset — you enjoy helping others and take service seriously
  • Ability to handle sensitive and confidential information with discretion
  • Familiarity with employment standards and HR compliance basics is an asset
