Job description

Position Summary: The Payroll Manager is responsible for overseeing all aspects of payroll processing and administration. The Payroll Managerโ€™s primary focus will be to ensure accurate and timely payroll operations while maintaining compliance with company policies and regulatory requirements. This role also serves as the primary administrator of the companyโ€™s HRIS and payroll platform and owns payroll tax account setup and benefit deduction reconciliation across a growing, multi-state portfolio.

Location: Remote

Pay Range: $65,000 - $75,000 based on experience and qualificationsย

  • Manage the end-to-end biweekly payroll process, ensuring the accurate calculation of wages, deductions, taxes, and distribution of paychecks and electronic payments.
  • Develop and maintain streamlined payroll policies and procedures to improve the payroll process across the portfolio of hotels.
  • Ensure accurate and timely processing of payroll updates, including new hires, terminations, and changes to pay rates, in compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Ensure proper processing of new hires, terminations, transfers, promotions, compensation changes, and other associate status changes.
  • Review and reconcile payroll reports promptly, resolving any discrepancies or errors in a timely and efficient manner.
  • Partner with property leaders to resolve timekeeping, missed punch, PTO, and payroll-related issues.
  • Manage wage garnishments, child support orders, tax levies, and other required payroll deductions.
  • Oversee the annual payroll calendar to ensure timely payroll processing, including overtime input, calculation of federal and state payroll taxes, bank files, and garnishments.
  • Serve as the primary administrator of the HRIS and payroll platform, maintaining company and position structures, job codes, cost centers, pay groups, and earnings and deduction codes across all managed entities and properties.
  • Lead payroll and HRIS system initiatives, including implementations, conversions, module rollouts, and scheduled system releases, validating configuration, data integrity, and parallel results ahead of each go-live.
  • Maintain timekeeping configuration and pay rules, including shift differentials, holiday pay, overtime calculations, and paid time off accruals, to ensure accuracy of recorded hours and adherence to company policy and applicable wage and hour law.
  • Support property leaders and associates in the use of manager and employee self-service, partnering with the People and Culture team on training, documentation, and adoption.
  • Register and maintain payroll tax accounts for new and transitioning properties, including employer identification, state and local withholding, and state unemployment insurance accounts, and ensure assigned rates are accurately reflected in the payroll system.
  • Monitor and respond to agency notices, rate change notifications, and account maintenance requirements across all operating jurisdictions.
  • Validate quarterly and annual tax filings prepared by the payroll provider and manage corrections, amendments, and W-2Cs as needed.
  • Reconcile payroll benefit deductions each pay period, identifying and correcting missed, duplicate, or incorrect deductions and processing arrears in accordance with company policy.
  • Reconcile carrier invoices against enrollment records and payroll deductions, researching variances and partnering with vendors, brokers, and internal teams to resolve them.
  • Monitor benefit carrier files between the HRIS and vendors, resolving file errors and confirming that enrollment changes flow accurately to payroll deductions.
  • Support benefit eligibility reviews and ensure associate status changes are accurately reflected in payroll and benefit systems.
  • Confirm the accuracy of payroll entries in the general ledger by reviewing and correcting the biweekly HRIS interface with the accounting system.
  • Coordinate with the accounting department to ensure accurate recording and reporting of payroll-related transactions and expenses.
  • Partner with internal and external auditors to facilitate payroll audits and reviews, providing necessary documentation and explanations as needed.
  • Coordinate year-end payroll activities, including W-2 processing and distribution, ensuring associate tax documents are accurate and delivered in compliance with regulatory requirements.

Qualifications:

Education: Bachelorโ€™s degree in Human Resources-related field, or equivalent work experience - CPP or other relevant certifications is a plus

Minimum of 5 years payroll experience, with at least 2 as a Payroll Manager or similar role

Strong working knowledge of multi-state, multi-entity payroll and payroll taxes

Experience administering a cloud-based, multi-entity HCM or payroll platform required; ADP experience strongly preferred

Hands-on experience supporting a payroll or HRIS implementation, conversion, or major module rollout

Working knowledge of multi-state tax account registration and maintenance, including state withholding and state unemployment insurance

Experience reconciling benefit deductions, carrier invoices, and enrollment data across multiple plans and vendors

Ability to build, maintain, and audit reports within an HRIS, with advanced Excel skills

Strong analytical and problem-solving skills required

Attention to detail and a high level of accuracy required

Demonstrates a high level of confidentiality, diplomacy and excellent judgment in successfully navigating sensitive issues
