Job description

Raymond West is looking for an Administrative Assistant with developed knowledge and skills through formal training or considerable work experience. This is an entry-level role for those who have work experience in the skill area. Works within established procedures with a moderate degree of supervision. We are looking for someone who can identify the problem and all relevant issues in straightforward situations. The Administrative Assistant will assess each standard procedure and make sound decisions and is looking to join our growing team! The Administrative Assistant role is designed to support the Raymond West Operational/Service departments and perform various general clerical responsibilities, including but not limited to some general accounting functions, to help the overall operation.

Duties and Responsibilities:
Primary duties and responsibilities will vary with the specific position. Typical responsibilities are listed below. This list is not inclusive.
* Maintain organized documentation for ongoing projects and initiatives for the supporting department
* Maintain and keep up-to-date department records and files
* Compile data and prepare reports for departmental leadership.
* Monitor progress on department projects and escalate issues to management as needed.
* Handle sensitive information with discretion and maintain strict confidentiality.
* Schedule meetings and coordinate logistics, including room reservations and refreshments.
* Draft, format, and distribute correspondence on behalf of department leadership.
* Review and route incoming mail to appropriate recipients.
* Receive and direct incoming phone calls for department management.
* Schedule and coordinate with vendors for company projects and services.
* Submit and track departmental purchase requisitions.
* Manage and direct help desk tickets via the FreshService portal.
* Support special accounting, financial, or administrative projects as assigned.
* Perform general administrative and clerical tasks to support departmental operations.
* Assist department staff with workload coverage during PTO, LOA, or other absences.
* Assist with other duties as assigned by leadership.
Required Skills/Abilities:
* Excellent written and verbal communication skills
* Be able to communicate with all levels of employees, customers, and manufacturers both verbally and in writing.
* Excellent Organizational Time Management skills
* Proficient in Microsoft Office Suite and similar software
* Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
* Ability to speak effectively before groups of customers or employees of the organization.
* Must be able to maintain effective working relationships with employees, Co-workers, and Managers in other departments
* Must be willing to work off-hours as specific needs dictate and willing to assume more responsibility as required
* Possess strong business math skills.
* Possess effective listening and questioning skills.
* Present a clean, neat professional appearance.
* Be able to manage time effectively.
* Maintain a professional attitude in all matters.

Pay Range:
* The hourly range for this position is $20.00 - $35.00. The specific pay offered to a candidate may be influenced by a variety of factors including but not limited to the candidate's relevant experience, education, and work location.
Qualified candidates must be able to pass a pre-employment physical and drug screen.
