Job description

Do you enjoy supporting sales reps, solving problems, and working in a fast-paced environment? 
Are you organized, detail-oriented, and comfortable juggling multiple projects at once? 

We are seeking a Project Manager to serve as the primary point of contact for our sales reps. In this role, you will help sales reps identify the products and services that best meet their customers' needs while ensuring an exceptional experience from initial inquiry through project completion. 

You will work closely with sales reps, the production team, and management to ensure orders are processed accurately, completed on time, and delivered to the highest quality standards. This position is ideal for someone who enjoys building relationships, learning new skills, and being part of a collaborative team. 

Compensation 

Compensation based on skills and experience. 

Responsibilities 

Sales Rep Support 

• Assist sales reps by phone, email, and online. 
• Answer questions regarding products, services, pricing, and turnaround times. 
• Help sales reps determine the best solutions for their customers' printing, signage, and marketing needs. 
• Prepare quotes, estimates, invoices, and work orders accurately. 
• Process orders and ensure all job specifications are clearly documented. 
• Communicate project status and timelines to sales reps as needed. 
• Address concerns and resolve issues promptly and professionally. 
• Escalate complex situations to management when appropriate. 

Project Coordination 

• Coordinate orders with the production team to ensure accuracy and timely completion. 
• Monitor job progress and communicate any delays or changes. 
• Review completed jobs for accuracy and quality before pickup or delivery. 
• Maintain organized sales rep files and job records. 
• Process reorders and updates to existing projects. 
• Assist customers with order pickup by retrieving completed orders from the front counter when needed. 

Administrative Duties 

• Utilize company software to create estimates, invoices, and job tickets. 
• Order supplies and materials as directed by management. 
• Support sales and marketing initiatives as needed. 
• Assist with mailings, packaging, and sales rep notifications. 
• Maintain a clean, organized, and professional work area. 
• Follow all company procedures and workflow systems. 

Qualifications 

• Customer service, retail, administrative, hospitality, sales support, or project management experience preferred. 
• Print industry, graphic communications, marketing, or sign industry experience is a plus, but not required. 
• Strong communication skills, both written and verbal. 
• Comfortable working with computers, software applications, and technology. 
• Strong organizational skills and attention to detail. 
• Ability to manage multiple projects and priorities simultaneously. 
• Problem-solving mindset with a commitment to excellent service. 
• Ability to work independently and as part of a team. 
• Positive attitude, professionalism, and willingness to learn. 

Physical Requirements 

• Ability to move throughout the facility and assist team members as needed. 
• Ability to occasionally lift and carry packages or print materials up to 25 pounds. 
• Ability to stand, walk, and interact with team members throughout the workday.
