About the Brand

Position Overview

The Documentation & Compliance Coordinator is the guardian of our digital and physical records. You will ensure that every safety sheet, and regulatory document is perfectly organized and up-to-date. This is a high-visibility, entry-level professional role perfect for someone who loves detail-oriented work and wants to launch a career in the luxury beauty industry.

Key Responsibilities

Record Keeping & Organization

· Digital Filing: Maintain and organize our digital library of product formulas and technical specifications.

· Compliance Support: Help track and file safety documents (SDS) and ingredient listings to ensure everything is "audit-ready."

· Accuracy Checks: Regularly audit digital folders to ensure no outdated versions of labels or formulas are being used.

· Excel Mastery: Use Excel to track document statuses, expiration dates, and project timelines with 100% accuracy.

· Regulatory Alignment: Monitor and organize records to ensure 100% alignment with Good Manufacturing Practices (GMP) and international cosmetic regulations.

Creative & Operations Support

· Version Tracking: Help manage the approval process for our luxury packaging designs and labels to ensure we always use the most current version.

· SOP Assistance: Support the team in maintaining organized "How-To" guides (SOPs) for our warehouse and distribution partners.

· Internal Communication: Act as a helpful link between our creative and production teams, ensuring everyone has the paperwork they need to succeed.

Who You Are (The Requirements)

· Precision Obsessed: You are naturally meticulous. You notice the small details and take pride in turning a messy folder into a perfectly organized system.

· Tech-Fluent: You are comfortable with Microsoft Office (Word, Excel) and learn new computer programs, like ERP systems, Quality Management Systems (QMS), SharePoint, or document control software quickly. (Previous experience with any of these systems is a bonus!)

· Trustworthy & Discreet: You understand the importance of keeping our "secret formulas" and business information private.

· Professional Communicator: You can write clear, professional emails and speak confidently with team members.

· Ready to Learn: No specific document control experience is required! We are looking for a high-energy individual with a background in administration, retail, or customer service who is ready to be trained.
