Job description

Enrollment Specialist

As a leadership support staff at the Primrose School of Midtown Oklahoma City located at 1013 NW13Th St. Oklahoma City, OK 73106 you will help the school and its leadership team deliver quality education in a safe environment, so that young minds can explore, discover and understand the world around them. We are seeking an experienced, enthusiastic, and customer-focused Enrollment Specialist to serve as the first point of contact for prospective families while supporting the school's enrollment and retention goals. This individual will build strong relationships with prospective and current families, manage the enrollment process from inquiry to start date, coordinate tours, and provide exceptional customer service that reflects the Primrose Schools brand and the Primrose Balanced Learning® approach to teaching and learning. Primrose is an accredited private preschool that provides a premier educational childcare experience. We offer year-round programs for children from infancy through elementary-aged school-age children.

Primary Responsibilities

  • Respond promptly to phone calls, emails, website inquiries, and walk-in prospects.
  • Schedule, conduct, and follow up on school tours with prospective families.
  • Guide families through the enrollment process, including applications, registration, and onboarding.
  • Maintain accurate records of prospective families, enrollment activity, and follow-up communications in Procare and other enrollment systems.
  • Meet established enrollment goals through consistent follow-up and relationship building.
  • Maintain waitlists and communicate classroom availability to prospective families.
  • Partner with the School Director to develop and implement enrollment strategies and community outreach initiatives.
  • Assist with internal and external marketing efforts, including open houses, family events, community events, and referral programs.
  • Coordinate enrollment materials, welcome packets, and new family communications.
  • Update parent contact information and student records in Procare.
  • Assist with social media content, school website updates, and promotional materials as directed.
  • Support parent appreciation, family engagement, and community events that strengthen enrollment and retention.
  • Maintain a professional, welcoming, and organized reception area.
  • Observe all rules and regulations of Primrose School of Midtown Oklahoma City and all local, state, and national licensing requirements pertaining to the health, safety, and care of children.
  • Assist with clerical duties, filing, scanning, copying, and organizing electronic documents.
  • Participate in opening and closing procedures as assigned.
  • Maintain an overall professional appearance in accordance with the Primrose School of Midtown Oklahoma City Employee Handbook.
  • Perform other duties as assigned by the Director or designee.

Desired Skills and Experience

  • Must meet the basic requirements of the local childcare regulatory agency.
  • Previous experience in admissions, enrollment, sales, customer service, hospitality, education, or a related field preferred.
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong customer service mindset with the ability to build trust and rapport with families.
  • Highly organized with exceptional attention to detail and follow-through.
  • Self-motivated and goal-oriented with the ability to manage multiple priorities.
  • Proficient with Microsoft Office, Google Workspace, and database management systems; experience with ProCare is preferred.
  • Comfortable using social media and digital communication tools.
  • Professional, positive, and welcoming demeanor.
  • Valid Oklahoma driver's license and reliable transportation.
  • Must be able to lift up to 35 pounds when necessary, in connection with school operations or emergency situations.
