Job description

JOB SUMMARY

Every website project at Cybernautic has a finish line. It has a client who’s counting on us, a team pulling in different directions, and a timeline that doesn’t care about surprises. The Project Manager is the person who holds it all together.

As an Associate Project Manager, you’ll own a portfolio of website projects from kickoff through launch. You’ll build the timelines, run the meetings, coordinate the team, and keep clients informed every step of the way. You’re the one who knows where every project stands at any given moment, and you’re the one who does something about it when something slips.

You’ll work alongside Strategists, Designers, Developers, Content Writers, and Web Marketing Specialists in Asana, HubSpot, Microsoft Teams, and OneDrive. You won’t be doing the design or writing the code, but you’ll understand enough to ask the right questions, spot the risks, and make sure nothing falls through the cracks.

This is an in-office role in Bloomington-Normal, IL. If you’re the kind of person who gets satisfaction from a project that launches on time, a client who knows exactly where things stand, and a team that knows you’ve got their back, this one was built for you.

WHAT YOU'LL DO

Project Planning & Execution

  • Build and maintain project timelines, milestones, and task schedules
  • Coordinate project kickoffs, resource planning, and internal handoffs
  • Monitor scope, deadlines, dependencies, and project risks across active projects
  • Keep teams prioritized and projects moving forward
  • Identify trade-offs, flag issues early, and help find solutions before they become problems

Client Communication

  • Serve as the primary point of contact for assigned clients throughout their project
  • Communicate project status, timelines, risks, and next steps clearly and proactively
  • Facilitate meetings, collect feedback, and keep documentation organized
  • Coordinate approvals and make sure client expectations and project execution stay aligned
  • Build trust through responsiveness, consistency, and follow-through

Cross-Functional Team Coordination

  • Coordinate work across Designers, Developers, Content Writers, and Marketing Specialists
  • Clarify responsibilities, deadlines, and priorities across multiple active projects
  • Help resolve workflow constraints and communication gaps before they affect delivery
  • Keep everyone aligned on what’s happening, what’s next, and what’s at risk

Quality & Delivery

  • Make sure projects are complete and meet quality standards before launch
  • Verify deliverables are aligned with approved scope before marking them done
  • Support continuous improvement through post-project feedback and evaluation

Systems & Process

  • Contribute ideas that improve how projects are planned, communicated, and delivered
  • Help identify opportunities for automation, AI integration, and workflow refinement

WHAT WE'RE LOOKING FOR

You'll need:

  • Strong organizational and time management skills — you can keep a lot of plates spinning without losing track of any of them
  • Excellent written and verbal communication, including the ability to run a meeting, write a clear status update, and have a direct conversation with a client when plans change
  • Ability to manage multiple priorities and deadlines simultaneously
  • Comfort working directly with clients and internal stakeholders at all levels
  • Familiarity with website production workflows and digital project environments
  • Working knowledge of project management tools such as Asana
  • Working knowledge of cloud-based collaboration tools and Microsoft Office applications
  • The ability to stay calm, organized, and solution-focused under pressure
  • Comfort using AI tools to improve communication, organization, and workflow efficiency

You'll stand out if you have:

  • Experience in a website, marketing, or creative agency environment
  • Familiarity with CMS-based websites and website production terminology
  • Experience coordinating cross-functional creative or technical teams
  • Understanding of SEO, web marketing, or digital strategy concepts
  • Experience improving workflows, documentation, or operational systems

LEVEL & COMPENSATION

We’re hiring at the Associate level. Placement and salary are dependent upon experience and qualifications; we’ll share the range with qualified candidates. Moving from Associate to Senior is a real path we review as you grow into the role. Employees are also eligible for a discretionary annual bonus. This position is exempt.

BENEFITS

  • An inspiring workspace: espresso bar, stocked break area, natural light, and common areas for when you need a change of scenery
  • Meaningful work in a people-first, in-office culture
  • Competitive compensation
  • Health insurance with 70% employer contribution for employees
  • Retirement savings with a 3% employer match
  • Paid Time Off: major holidays, 15 paid days off, and 5 sick days, increasing to 20 paid days off after 5 years
