Job description

CTG is currently seeking a Engineering Document Control Specialist in Whiting, IN to join our team.

Position Overview

The core focus of this position is engineering document control within a refinery or industrial environment. This role is responsible for maintaining the accuracy, integrity, and accessibility of engineering drawings and technical documentation while supporting maintenance, turnaround (TAR), and project activities.

This position ensures that engineering drawings and records are properly controlled throughout their lifecycle, including revisions, approvals, and metadata management within an Electronic Document Management System (EDMS). The role works closely with engineering, maintenance, and project teams to maintain up-to-date and compliant drawing records in support of safe and efficient operations.

While familiarity with engineering drawings and AutoCAD is important, this is not a design or drafting role , and hands-on CAD work represents a small portion of the overall responsibilities.

Key Responsibilities

  • Manage engineering drawings, revisions, and redline updates in accordance with company standards, procedures, and document control requirements

  • Control document check-in/check-out processes to ensure proper version control, accuracy, and drawing integrity

  • Maintain metadata, audit trails, and document history within Electronic Document Management Systems (EDMS) such as ALIM and SharePoint

  • Coordinate drawing updates, approvals, and documentation workflows across engineering, maintenance, project, and TAR teams

  • Serve as a key point of contact for drawing-related requests, revisions, and coordination across multiple functional groups

  • Ensure compliance with engineering drawing standards and document control procedures, including performing audits and managing corrective actions for non-conformance

  • Support audit readiness by maintaining accurate, current, and compliant engineering documentation and records

  • Track drawing revisions, approvals, and overdue actions to ensure timely completion and process adherence

  • Review, organize, and validate engineering documentation including P&IDs, isometrics, and related technical drawings

  • Perform quality checks and audits on drawing packages and technical records to ensure completeness and accuracy

  • Perform limited updates to CAD drawings or coordinate drafting resources as needed

  • Support scanning, printing, plotting, and archiving of engineering documents and drawings

  • Provide support for document retrieval, reporting, and records management activities

  • Collaborate with engineers, designers, contractors, and operations personnel to maintain document consistency and accuracy

Qualifications

  • Minimum 3 years of experience:

  • in Information Management or an engineering-related field

  • managing engineering drawings and technical documents

  • Working knowledge of AutoCAD, with the ability to perform minor drafting updates as needed

  • Ability to interpret redlines, sketches, and specifications and coordinate or guide required drawing updates with CAD drafters

  • Strong understanding of engineering and drafting principles, including drawing standards and conventions

  • Experience working within an Electronic Document Management System preferred but not required

Preferred Qualifications

  • Experience in document control or engineering information management within manufacturing, refinery, industrial, or oil & gas environments

  • Familiarity with Electronic Document Management Systems (EDMS), including ALIM, SharePoint, or similar platforms

  • Ability to read and interpret engineering drawings such as P&IDs, piping isometrics, and related technical documentation

  • Experience managing drawing revisions, metadata, redlines, and approval workflows

  • Exposure to CAD or drafting tools (e.g., AutoCAD) preferred; design experience is beneficial but not required

  • Understanding of refinery operations and engineering environments; Whiting refinery experience is a plus

  • Experience supporting drawing quality control, audits, or standards compliance processes

  • Strong attention to detail, organization, and focus on document accuracy and integrity

  • Proficiency with Microsoft Office Suite, PDF/document management tools, and engineering file formats

  • Strong communication and coordination skills with the ability to work effectively across multiple teams and departments

  • Ability to manage multiple workflows and priorities independently in a fast-paced environment
