Job description

Major financial corporation seeks Real Estate Information Management ? Document Controller to support ongoing real estate projects.
The Document Controller (DC) as a member of the Real Estate Information Management (REIM) group supports real estate construction project teams by managing project design documents and by advocating document standards and requirements. The DC performs a variety of document control functions using cloud-based electronic document management system. The DC will work with end-users to collect, maintain, and distribute documents while ensuring quality and integrity of the documentation.
The qualified candidate will have electronic document management experience within the design and construction industry. This position is responsible for all client-facing document control activities. These activities require cooperation across a large group of individuals that include both on-site and off-site stakeholders.
Specific responsibilities include:
- Maintain engineering drawings, project reports, specifications, proposals, and other documentation for multiple construction projects
- Support multiple on-site and off-site project team members engaged in the design, construction, and integration of real estate capital projects and related document management
- Ensure design and construction deliverables meet document submission requirements by all stakeholders throughout the documentation life cycle of a project
- Ensure that documents are in searchable with established metadata attributes
- Audit and reconcile project documentation for multiple high-profile projects
- Resolve and escalate issues concerning missed deliverables and failure to meet document control requirements
- Direct off-site documentation support team to coordinate special documentation projects
- Provide reports on quality assurance, quantity, and performance of documentation delivery with tracking controls, logs or similar
- Track phases of multiple projects to proactively provide documentation control support to project management
- Validate project close out documentation for migration to facilities management
- Administer electronic document management system including related forms, documents, and support tickets.
- Enhance the documentation process using the electronic document management system.
- Manage risk associated with changes to project teams and phase of project work by controlling access and permissions on the electronic document management system.
- Provide strategic advisement on document standards and procedures to Management
Qualifications
- 5+ years of prior document control or project administration experience
- Design, construction, architecture, real estate development, or facilities management exposure
- Experience in document management, system administration, or data governance
- Advanced word processing and spreadsheet experience required
- Strong administration and project management skills
- Strong knowledge of electronic document management systems, document control tools, or collaborative project management software such as Constructware, Procore, Primavera, PMWeb, Newforma, Aconex, Asite, OpenText, Laserfiche, or similar
- Excellent written and oral communication
- Attention to detail, organizational and interpersonal skills, as well as a demonstrated ability to interact effectively with project professionals and management
- Experience or knowledge of AutoCAD and BIM preferred.
