Pro-Vac is looking for a Talent Partner in Onboarding to join our team in our Houston, TX office!
The Onboarding, Talent Partner is responsible for overseeing, implementing and executing onboarding processes that ensure all new hires meet organizational, regulatory, and compliance requirements before and during their transition into the company. This role will manage the candidate lifecycle from offer stage to their first day within the organization, and support existing employees through their talent cycle. This role partners closely with HR, Talent Acquisition, Hiring Managers, Legal, IT, and other stakeholders to deliver a seamless onboarding experience while maintaining strict adherence to employment laws, company policies, and audit requirements.

The ideal candidate will have strong analytical skills, experience in improving onboarding strategies and excellent organizational abilities. He/she should be familiar with developing top tier new hire experiences that effectively attract and retain top talent.

Responsibilities: 

Onboarding Compliance & Governance
  • Ensure completion and accuracy of all pre-employment and onboarding compliance requirements, including employment eligibility verification, background checks, licensing, certifications, policy acknowledgments, and required training.
  • Monitor compliance with federal, state, local, and organizational regulations related to employee onboarding.
  • Maintain onboarding records and documentation in accordance with record-retention policies and audit standards.
  • Conduct periodic reviews and audits of onboarding processes, documentation, and systems to identify compliance risks and process gaps.
  • Partner with Legal, Compliance, Risk, and HR teams to implement updates related to regulatory or policy changes
New Hire Experience
  • Serve as the primary point of contact for new hires from offer acceptance through onboarding completion.
  • Coordinate and track onboarding activities to ensure all required milestones are completed on time and ensure consistent communications are delivered to management.
  • Provide guidance on onboarding requirements, policies, and procedures.
  • Ensure a positive and consistent onboarding experience while balancing compliance requirements and business needs. Process Management & Reporting
  • Monitor onboarding metrics, including compliance completion rates, audit findings, time-to productivity, and new hire readiness.
  • Develop and maintain compliance dashboards and reports for HR and leadership stakeholders.
  • Identify opportunities to improve onboarding efficiency, reduce risk, and enhance the employee experience.
  • Support implementation and optimization of onboarding systems, workflows, and automation tools. Stakeholder Partnership
  • Collaborate with Hiring Managers, HR, Talent Acquisition, IT, and Executive teams to ensure onboarding requirements are met.
  • Provide training and guidance to managers on onboarding policies and compliance standards.
  • Serve as a subject matter expert for onboarding compliance processes and best practices.

Requirements: 

  • Bachelor's degree in Human Resources, Business Administration, or related field, or equivalent experience.
  • 5+ years of onboarding, HR operations, compliance, talent management, or employee experience management.
  • Experienced in multi-state and remote hiring.
  • Strong knowledge of DOT and FMCSA employment regulations, onboarding practices, and HR compliance requirements.
  • Experience managing sensitive and confidential employee information.
  • Strong project management, organizational, and stakeholder management skills.
  • Experience with HRIS system tracking, (e.g. Workday, Greenhouse, UltiPro, etc.)
  • Familiarity with Driver Qualifications files, Drug & Alcohol clearing house, DOT medical certifications and requirements.
