SUMMARY

SUNY Brockport is accepting applications for the position of Office Assistant 3 (Calculations) in the Center for Global Education and Engagement (CGEE). This person will report to the Director and provide financial and registration support to the areas of Study Abroad, International Student Services (ISS), Washington, DC Internship Program, and overall department operations.

JOB FUNCTIONS

General (5%)

  • Provides financial oversight to The Center for Global Education and supports the Director with the financial administration of its budget

  • Works frequently with the following systems: Banner, QuickBooks, Bi Oracle system, Studio Abroad, Excel etc.

  • Hires, trains and supervises student workers assisting the Office Assistant 3 (SG-14)

Customer Service (15%)

  • Serves as the primary contact for students, parents and other SUNY staff about billing and financial aid questions and issues

  • Primary financial liaison for on-campus offices, including Student Accounts, Procurement and Payment, BASC, Financial Aid, Banner (IT Services), SUNY and domestic Study Abroad Offices and Registrar

  • Communicates closely with foreign and domestic partner financial contacts to ensure successful and timely payments

Registration (20%)

  • Creates and implements Banner Control Table for each Study Abroad/Washington DC Program term

  • Registers participants for OAP (Overseas Academic Program) courses in Banner

  • Coordinates with Registration and Records to facilitate Brightspace course creation, as needed

Billing & Payment (35%)

  • Processes invoices and deposits from program partners and students

  • Manages SUNY OAP tuition transfer process

  • Ensures successful completion of purchase requisitions, standard vouchers, and wire transfer requests

  • Processes travel vouchers, State and BASC credit card reconciliations, and check requests for the CGEE team and faculty program leaders

  • Assesses program charges to registered program participants, using Student Accounts Billing Schedule each term

  • Tracks and resolves payment collection issues

  • Manages billing agreements with select non-SUNY schools and develops new billing agreements, as needed, with Brockport’s IT Banner Services

  • Manages billing adjustments

  • Maintains financial records of student payments and reconciles against Banner reports

Budgeting (10%)

  • Assists Director with preparation of annual budget for the CGEE, develops and maintains financial reports, working cost and revenue charts

  • Prepares Education Abroad program budget sheets and disseminates budget information to relevant stakeholders

  • Maintains financial records including program expenditures and revenue, office expenditures, tuition revenues, and accept fee revenues, office payroll payments, travel reimbursements, office expenditures, credit card expenditures

Insurance (15%)

  • Serves as Insurance coordinator for all inbound and outbound activity

  • Assesses appropriate insurance charges to study abroad and international student bills

  • Reconciles health insurance invoices to student billing and ensure on-time payment of invoices

REQUIREMENTS

Minimum Qualifications:

Candidates must have permanent appointment in an Office Assistant 3 (Calculations) New York State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 3(Calculations) Full Time - Brockport location.

Promotion: one year as an Office Assistant 2; or one year of permanent service in a clerical, keyboarding, or paraprofessional title allocated to Grade 7 or higher.

  • Detail oriented, strong organizational skills.

  • Professional with the ability to demonstrate outstanding customer service skills.

  • Advanced knowledge of MS Excel, Quickbooks, Banner.

  • Ability to work in a diverse environment with a variety of constituents.

Work Schedule:

37.5 hours/week: Monday - Friday 8:00am - 4:00pm
