Position Summary
The Order Management Specialist is responsible for processing order flow from entry through shipment. This includes both manual entry and exporting orders via EDI, assuring inventory availability, communicating with the Sales Team on modifications or delays, confirming all customer requirements are met, and assuring orders are sent to the appropriate warehouse for timely shipment.
This role partners closely with Sales, Logistics, and Supply Chain to maximize order fulfillment as written and ensure a high level of customer service.
Key Responsibilities
Order Processing & Management
  • Process all inbound EDI orders daily, including verifying item, price, and terms accuracy.
  • Manually enter orders received via email, MarketTime, or other retailer portals, while verifying item, price, and terms accuracy.
  • Communicate with applicable Sales Representatives to correct order or item discrepancies.
  • Process credit card payments for orders as needed.
  • Verify item availability for shipment and communicate any shortages or inventory issues to the applicable Sales Representative.
  • Assure timely delivery of orders to warehouses while meeting customer-specific freight collect routing guidelines and shipment deadlines.
  • Confirm order confirmations and routing details in customer portals where applicable.
  • Monitor open orders to identify warehouse issues or delays preventing shipment.
  • Update order dates and details as needed to ensure accurate order reporting.
  • Update and distribute internal Open Order and Received Order reports.

Customer & Warehouse Coordination
  • Generate order labels for Canadian shipments where applicable.
  • Request workflow orders to the warehouse for additional customer requirements, including price stickers, special carton labels, or other shipment markings.
  • Ensure all customer requirements are communicated and completed prior to shipment.

Reporting & Process Support
  • Maintain and update customer-specific EDI translation tables to ensure orders process accurately and without delays.
  • Prepare and analyze ad hoc internal order reporting as needed.

Requirements
  • Bachelor's degree or equivalent work experience.
  • Experience in order processing from entry through shipment.
  • Above-average Excel skills preferred.
  • Experience working with retail customers and/or supply chain processes.
  • Strong problem-solving skills.
  • Strong organizational skills and attention to detail.
  • Effective communication and collaboration skills.
  • Ability to manage multiple projects and priorities in a fast-paced environment.
