Job Summary
P rovides essential administrative and project support to the Office of Alumni Affairs and GSW Foundation Inc. This role focuses on maintaining the integrity of the alumni and donor database, assisting with alumni and donor communications, and supporting the planning and execution of departmental events. The ideal candidate is a detail-oriented professional capable of managing multiple priorities.
Responsibilities
Essential Duties and Responsibilities
  • Administrative Support: Assist with alumni and donor acknowledgment processes, including drafting and mailing personalized thank-you letters. Manage calendars and schedule meetings.
  • Communications: Assist in preparing materials for meetings and presentations. Help create social media posts highlighting outstanding alumni, engagement events, travel opportunities, and other timely information.
  • Database Management: Perform data entry and maintain accurate constituent records (alumni, parents, donors and friends) in the donor database.
  • Event Coordination: Provide logistical support for internal and external events, such as alumni engagement opportunities, donor receptions, board meetings, and homecoming activities. Assist with event flyers, marketing, guest lists, RSVP tracking, and on-site event setup/take-down.

Required Qualifications
  • Education: High school diploma or equivalent required; Bachelor's degree preferred.
  • Software Proficiency: Advanced proficiency in the Microsoft Office Suite. Experience with Canva considered a plus.
  • Communication: Excellent oral and written communication skills with a strong focus on professional etiquette.
  • Organizational Skills: Demonstrated ability to manage competing priorities with high attention to detail.

Preferred Qualifications
  • Social Media: Proficiency with Facebook, Instagram and Twitter.
  • Database Experience: Prior experience with Blackbaud Raiser's Edge (NXT preferred) for gift processing and reporting.
  • Sector Experience: Previous experience in a higher education or non-profit fundraising environment.
  • Event Planning: Familiarity with planning and executing small to medium-scale special events.
