Position Overview


We are seeking a motivated Document Control Specialist to join our Fairfax office. This role is critical for managing incoming correspondence from multiple electronic portals and physical mail. The position is responsible for accurately uploading all incoming emails/documents into the case management system, tracking and calendaring critical deadlines, and coordinating with attorneys and staff on PACER, DocketBird, EOIR, and FOIA-related matters. This role requires strong organizational skills, attention to detail and the ability to prioritize time-sensitive information.


This is a full-time, on-site role for the first 90 days, with the potential to transition to a hybrid schedule (3 days in-office,2 days remote) after successful completion.


Key Responsibilities

  • Monitor and manage incoming emails and physical mail, ensuring all correspondence is reviewed promptly and uploaded accurately into the case management system in a timely manner
  • Identify and prioritize urgent items to meet case deadlines and attorney needs.
  • Assist with PACER and DocketBird access and functionality, including password maintenance, monitoring MFA requirements and access issues.
  • Call Clients to coordinate pick-up/mail out for priority documents.
  • Maintain organized email inboxes using subfolders
  • Demonstrate strong time management and organizational skills, ensuring consistent workflow and adherence to deadlines.
  • Provide support with front desk operations on an as-needed basis
  • Provide support with ECAS/FOIA inbox.
  • Back up colleagues when needed.
  • Other duties as assigned.

  • Highly organized and detail-oriented with strong time management skills
  • Fluent in Spanish, with strong written and verbal communication.
  • Comfortable working in a fast-paced environment and managing multiple priorities.
  • Able to follow written and verbal instructions accurately and efficiently.
  • Collaborative and proactive, willing to support colleagues and learn new processes.

Basic qualifications:

  • High School Diploma or GED
  • Fluency in Spanish
  • Strong organizational and detail-oriented skills

Preferred qualifications:

  • Associate or Bachelor’s degree
  • Experience with Salesforce, Microsoft 365, PACER, and DocketBird
