Position Overview

We are seeking an experienced Engineering Assistant with 10–15 years of professional experience supporting engineering leadership and project teams.

This role provides high-level administrative and project coordination support to engineering management. The ideal candidate will be highly organized, detail-oriented, and capable of managing documentation, communications, scheduling, and financial tracking activities to ensure the successful execution of engineering projects.


Key Responsibilities

Project Documentation & Organization

  • Create, organize, and maintain project documentation including:
    • Engineering plans
    • Schedules
    • Budgets
    • Reports
  • Ensure all documentation is accurate, current, and accessible.
  • Maintain document control and version tracking.

Communication & Coordination

  • Facilitate communication among project team members, stakeholders, and contractors.
  • Prepare and distribute meeting agendas, minutes, and status updates.
  • Assist with internal and external communications related to engineering projects.

Scheduling & Logistics

  • Coordinate meetings, site visits, and project-related events.
  • Support engineering management with calendar coordination.
  • Track and follow up on action items and milestones.

Budget & Financial Support

  • Assist in monitoring project budgets and expenses.
  • Support preparation of financial reports and forecasts.
  • Track project cost data and highlight potential variances.

Data Analysis & Reporting

  • Collect and analyze project data to identify trends.
  • Prepare summary reports and recommendations based on analysis.
  • Support continuous improvement initiatives within the engineering team.

Required Qualifications

  • Accredited Bachelor’s degree (Engineering preferred).
  • 10–15 years of experience in engineering administrative or project coordination roles.
  • Proficiency in:
    • Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
    • Project management software
    • Data analysis tools
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines.
  • Strong interpersonal skills and ability to collaborate across diverse teams.
