Addison Energy Technologies (AET) is seeking an experienced Executive Assistant & Bid Coordinator to support company leadership and help keep our bidding, project documentation, and daily office operations running smoothly.

This is more than a traditional administrative position. You will work closely with leadership and support our estimating, pre-engineering, and operations teams. The right person will enjoy managing details, improving organization, meeting deadlines, and helping projects move forward.

 What You’ll Do

  • Provide professional executive-level support to company leadership.
  • Coordinate the preparation, review, and timely submission of bid proposals.
  • Track bid opportunities, deadlines, addenda, and required documentation.
  • Download, organize, and distribute project plans and specifications.
  • Prepare proposal packages, qualification statements, presentations, and client deliverables.
  • Maintain accurate project files and document-control systems.
  • Manage calendars, meetings, travel arrangements, and company events as needed.
  • Prepare correspondence, reports, presentations, and other business documents.
  • Answer incoming calls and provide exceptional service to clients and business partners.
  • Support the estimating, pre-engineering, and operations teams with administrative needs.
  • Handle confidential information with professionalism and discretion.
  • Assist with special projects and other responsibilities as assigned.

 What You’ll Bring

  • At least three years of administrative, executive assistant, or similar professional experience.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and accuracy.
  • Proficiency with Microsoft Outlook, Word, Excel, and other Microsoft Office applications.
  • The ability to work independently, anticipate needs, and manage multiple deadlines.
  • A dependable, team-focused attitude and professional approach.

Construction industry experience is preferred but not required. Experience with construction bidding platforms, Bluebeam, or PlanSwift is a plus—we also welcome candidates who are eager to learn.
