Salary Range Starting at: $44,000.00 Annual

Job Description:

As the Executive Assistant, you will advance and support the Mission of The Salvation Army in everything that you do, while assisting the Executive Development Director with the responsibilities and functions of the office of Development. This includes handling highly private and sensitive matters relating to personnel, donor relations, fundraising, department and office procedures.

What You Will Do:

  • Assist the Executive Development Director (EDD) in communications with the Development Team, to the corps/unit personnel within the Indiana Division and Divisional Headquarters.
  • Take minutes at various development meetings and distribute to key stakeholders.
  • Assist the EDD on special development projects.
  • Upon approval of the EDD, make portfolio changes in Salesforce for the Philanthropy Team.
  • Request Salesforce donor and fundraising reports for the EDD.
  • Process invoices for payment relating to EDD's office i.e., annual fund invoices, floral orders, other monthly expenses.
  • Oversee the Memorial/In Honor Donor and Matching Gift programs.
  • Produce thank you and correspondence letters as needed.
  • Record Capital Campaign donations and produce reports.
  • Assist in supporting the Divisional Annual Fund Program.
  • Manage the Development Team and the Development Conference Room calendars.
  • Keep the development mailbox area, workspace area and cage organized.
  • Other tasks as assigned by leadership.

Minimum Qualifications: The requirements listed below are representative of the minimal education, experience, skills, and/or abilities required for this position.

Education: Minimum associate degree or four years work related experience as Executive Assistant / Administrative Assistant or combination of training and experience will be considered.

Background Checks: Position requires a background check to be completed, and all background check results will be reviewed.

Experience: Four years work related experience preferred.

Certifications: Must have a valid driver's license and maintain The Salvation Army Driver's qualification standard; must complete Safe From Harm training within the first 90 days of employment.

Skills/Abilities:

  • Able to speak, write and understand English in a manner sufficient for effective communication with leadership, field personnel, and clientele
  • Exhibit excellent verbal and written communication skills
  • Type with a high degree of accuracy
  • Minimum competency at an intermediate level with Zoom, Salesforce and Microsoft Office, especially Word, Excel, Outlook and Teams. Other MS program competencies a plus
  • Able to use office equipment at an advanced level, including copy machines and scanners
  • Must be able to pay close attention to detail and to work effectively with minimum supervision
  • Able to ensure that several projects are progressing at the same time
  • Willing and able to relate to people in a courteous and professional manner/excellent interpersonal skills. Must be a team player
  • Willing to continue education and learn new computer applications as needed

Supervisory Responsibility: No supervisory responsibilities
