About the Role

Moffat County School District is seeking a highly organized, experienced, and professional individual to serve as Executive Assistant/Chief of Staff to the Superintendent and Secretary to the Board of Education.

This position provides high-level executive and administrative support to the Superintendent, coordinates the operations of the Superintendent's Office, and fulfills essential responsibilities on behalf of the Board of Education. The successful candidate will help ensure efficient district operations and enable the Superintendent and Board to remain focused on the District's strategic priorities.

This is a fast-paced, highly visible position requiring exceptional judgment, professionalism, discretion, responsiveness, and attention to detail. As a key member of the District's executive leadership team, this individual will interact regularly with Board members, district leaders, employees, families, community partners, and other stakeholders.

Essential Responsibilities

Executive and Chief of Staff Support

  • Manage the Superintendent's complex and frequently changing calendar, including meetings, appointments, events, and travel.
  • Anticipate scheduling conflicts, emerging priorities, and operational needs, adjusting plans quickly when circumstances change.
  • Maintain appropriate availability outside regular business hours, including occasional evenings, weekends, and holidays, as district needs require.
  • Serve as a primary point of contact and gatekeeper for the Superintendent by screening and prioritizing correspondence, telephone calls, meeting requests, and other communications.
  • Monitor time-sensitive matters and ensure critical issues are brought to the Superintendent's attention promptly.
  • Coordinate travel logistics, including transportation, lodging, itineraries, registrations, and related communications.
  • Prepare reports, presentations, correspondence, meeting materials, and other documents, ensuring accuracy, quality, and completeness.
  • Attend executive-level meetings, document key decisions and action items, and monitor follow-through to support timely completion.
  • Assist with special projects, research assignments, strategic initiatives, and other priorities identified by the Superintendent.
  • Coordinate communication and workflow among the Superintendent, Board of Education, district leadership team, and other stakeholders.
  • Proactively identify and address operational issues, communication gaps, bottlenecks, and emerging challenges.
  • Recommend and implement process improvements and best practices that strengthen the effectiveness of the Superintendent's Office.
  • Respond professionally to concerns elevated to the Superintendent's Office and assist in de-escalating challenging or sensitive situations.
  • Handle confidential and sensitive information with the highest level of integrity and discretion.

Board of Education Support

  • Serve as Secretary to the Board of Education and provide administrative support for Board meetings, work sessions, retreats, and other Board activities.
  • Coordinate the preparation, organization, distribution, and posting of Board agendas and supporting materials.
  • Attend Board meetings, prepare accurate minutes, and maintain official Board records.
  • Track Board decisions, directives, and follow-up items to support timely implementation.
  • Coordinate communication among Board members, the Superintendent, district leadership, legal counsel, and other stakeholders, as appropriate.
  • Assist with meeting notices, public records, correspondence, and other Board-related requirements in accordance with applicable laws, policies, and established procedures.
  • Maintain strict confidentiality regarding executive sessions, personnel matters, legal issues, negotiations, and other protected information.

Qualifications and Experience

  • Bachelor's degree in business administration, public administration, organizational leadership, education, or a related field preferred.
  • At least five years of experience in an executive assistant, chief of staff, senior administrative, or comparable role supporting executive-level leadership.
  • Experience supporting a governing board, public-sector organization, school district, or similarly complex organization preferred.
  • Exceptional organizational, project-management, and time-management skills.
  • Outstanding written and verbal communication skills.
  • Strong attention to detail and commitment to producing accurate, high-quality work.
  • Proficiency with Google Workspace and electronic calendar, document-management, and communication tools.
  • Ability to manage multiple priorities, meet deadlines, and adapt quickly in a fast-paced environment.
  • Demonstrated ability to handle high-pressure and sensitive situations with professionalism, tact, and composure.
  • Strong analytical, problem-solving, and decision-making abilities.
  • Ability to build and maintain effective working relationships with diverse internal and external stakeholders.
  • High level of integrity, confidentiality, discretion, and professional judgment.
  • Flexibility to work outside regular business hours when necessary to support the Superintendent and Board of Education.

Compensation and Benefits

The anticipated starting salary range for this position is $75,000 to $85,000. The final salary will be determined based on the selected candidate's relevant experience, education, qualifications, and demonstrated skill level.
