Job description

Position Summary:

Provides accurate, responsive, and compliance-focused support across HR operations and the employee lifecycle. The HR Operations Coordinator processes workforce transactions, responds to employee and leader inquiries, maintains HR records, supports reporting and audits, and coordinates cross-functional activities involving Human Resources, HR Technology, Payroll, Benefits, Information Technology, Information Security, Legal, and Records Management. The role also supports regulatory remediation activities, including Matters Requiring Attention (MRAs), by helping maintain data inventories, execute approved employee-data retention and deletion procedures, validate results, and preserve audit evidence.

Responsibilities:

  • Processes and monitors employee lifecycle transactions, job and organizational changes, contingent worker updates, leaves, terminations, rescissions, and related employee data corrections in Workday and connected service channels.
  • Reviews requests for completeness, required approvals, effective dates, supporting documentation, and alignment with established policies, procedures, and service expectations before processing or escalation.
  • Responds to routine employee and leader questions through HRConnect, shared inboxes, and other approved support channels; document activity, route complex matters to the appropriate HR partner and follow through to resolution.
  • Maintains accurate and confidential personnel records, transaction documentation, acknowledgments, and operational evidence in accordance with company retention, privacy, legal-hold, and records-management requirements.
  • Supports standard and ad hoc HR reporting, transaction audits, data-quality reviews, exception tracking, and reconciliations; identify discrepancies and coordinate timely corrections with HR Technology or the responsible business owner.
  • Assists with recurring HR programs and operational activities, including performance and compensation cycles, workforce changes, policy acknowledgments, labor-law posting administration, work authorization tracking, and special projects.
  • Partners with HR Technology and IT to troubleshoot system or workflow issues, document defects, test approved changes, and confirm that employee lifecycle processes operate as intended across Workday and downstream systems.
  • Prepares process documentation, job aids, control evidence, status updates, and supporting materials for internal audits, external audits, compliance reviews, and management reporting.
  • Recommends practical improvements that strengthen accuracy, timeliness, controls, employee experience, and scalability across HR operational processes.
  • Supports MRA-related workstreams involving employee data classification, retention, disposition, deletion, de-identification, and access controls under the direction of the designated business, application, data, or risk owner.
  • Maintains current inventories of HR applications, employee-data locations, system owners, downstream interfaces, retention requirements, legal hold exceptions, and approved deletion or de-identification rules.
  • Coordinates approved deletion exercises by compiling employee populations, validating exclusions, distributing identifiers only through approved secure methods, tracking completion by system owners, and escalating delays or exceptions.
  • Validates that approved HR system purge activities complete successfully and coordinate downstream confirmation, reconciliation, and issue resolution without independently changing legal, retention, security, or data-classification requirements.
  • Collects and organizes evidence of execution, including approvals, population files, validation results, exception logs, system-owner confirmations, and remediation artifacts, in the designated controlled repository.

 Requirements

  • Bachelor’s degree in Human Resources, Business Administration, Information Systems, or a related field preferred; equivalent relevant experience may be considered.
  • One (1) + years of HR operations, HR coordination, HRIS support, records administration, compliance support, or related experience preferred.
  • Experience supporting audits, data-governance activities, regulatory remediation, or controlled operational processes is preferred.
  • Working knowledge of HR operations and employee lifecycle processes; familiarity with Workday or a comparable enterprise HRIS is preferred.
  • This is a hybrid position based in Irvine, CA or Chandler, AZ - requiring two days per week.

Base salary is one piece of our total rewards package and is structured within a range so you can progress as you grow in the role.  For this position, the anticipated annual base salary range is $19.71 to $27.40 nationally. In certain high-cost geographic markets (CA), the anticipated annual base salary range is $23.08 to $31.73.  Actual compensation will depend on your skills, experience, qualifications, and the work location tied to our geographic pay structure.
