Job description

Position Summary

The Dispatch Assistant plays a critical role in the daily operations of Hurts Trucking & Demolition LLC. This position is responsible for coordinating transportation activities, dispatching company-owned and lease hauler trucks, managing customer orders, ensuring accurate driver timekeeping and invoicing, and supporting business development efforts.

The ideal candidate is highly organized, meticulous, customer-focused, and capable of thriving in a challenging environment while balancing operational priorities with excellent customer service.

Key Responsibilities

• Dispatch & Operations Coordination

• Receive, enter, and process customer orders accurately and efficiently.

• Schedule, dispatch, and monitor company-owned trucks and lease haulers to ensure timely completion of

customer requests.

• Coordinate daily transportation activities to maximize efficiency and equipment utilization.

• Track load and job progress, proactively address delays, and communicate updates to customers and internal

teams.

• Maintain accurate records of dispatch activities, routes, deliveries, and driver assignments.

• Ensure all work orders, tickets, and job documentation are completed accurately.

Customer Service & Communication

• Serve as a primary point of contact for customers by phone, email, and other communication channels.

• Answer customer inquiries professionally, courteously, and promptly.

• Prepare and provide accurate quotes for transportation and hauling services.

• Resolve customer concerns and service issues in a timely and professional manner.

• Build and maintain strong customer relationships through responsive communication and dependable service.

Timekeeping & Driver Administration

• Review and verify daily driver time entries for accuracy and completeness.

• Ensure driver hours, job assignments, and payroll-related information are entered correctly.

• Investigate and resolve timekeeping discrepancies promptly.

• Support payroll processing by ensuring all required information is submitted accurately and on time.

Invoicing & Documentation

• Review completed jobs, orders and prepare customer invoices accurately.

• Verify ticket quantities, truck types, hours, rates, and supporting documentation before invoicing.

• Ensure customer billing accurately reflects services performed.

• Maintain organized electronic and physical records for billing, reporting, and audit purposes.

Client Relations & Business Development

• Identify and pursue new business opportunities through outbound calls and customer outreach.

• Contact prospective customers and lease haulers introducing company services and developing new

relationships.

• Support company growth initiatives through initiative-taking customer engagement and relationship building.

Qualifications

• Experience in dispatching, coordination, transportation coordination, customer service, or a related field.

• Persuasive communication and interpersonal skills.

• Excellent organizational skills and attention to detail.

• Ability to manage multiple priorities in a demanding environment.

• Proficiency with dispatching, scheduling, invoicing, and timekeeping software.

• Experience with trucking, construction, aggregate hauling, or dump truck operations is preferred.

• Business experience or comfort making outbound business development calls is strongly preferred.
