About this Role

The Practice Manager oversees day-to-day operations for their primary clinic while supporting operational alignment across six Pinnacle Fertility locations throughout Washington State, representing approximately 200 employees across the network. This leader drives exceptional patient experiences while ensuring efficient, high-quality workflows across all aspects of fertility care delivery.

This onsite leader partners closely with physicians and local staff to uphold operational excellence, support team performance, and maintain a patient-centric environment in a high-volume, multi-site specialty care setting.

The Practice Manager also collaborates with Pinnacle’s robust shared services teams—including facilities, IT, HR, finance, compliance, and marketing—to ensure smooth clinic operations, timely issue resolution, and alignment with network-wide standards and initiatives. This role is deeply engaged with the local team while also helping support operational consistency across locations by sharing best practices, identifying opportunities for improvement, and strengthening collaboration across clinics.

We are seeking a Practice Manager to join our dedicated team at Pinnacle Fertility - Washington. This is a full-time, salaried, onsite role based in Seattle, with additional support responsibilities for our other clinic locations across the state. While core operations occur Monday through Friday, the schedule for this salaried position may vary based on clinic needs.

Key Responsibilities

  • May report directly to an Executive Director, Regional Executive Director, or VP of Operations depending on organizational structure.
  • Provide onsite daily leadership to ensure smooth patient flow, operational consistency, and timely resolution of issues.
  • Handle patient escalations and manage service-recovery workflows to reinforce an excellent patient experience.
  • Coordinate staffing needs, including recruiting, interviewing, onboarding, and ongoing training.
  • Manage time-off approvals, daily workforce scheduling, and coverage planning to ensure adequate clinical support.
  • Oversee facilities operations, including project coordination, equipment maintenance, and supply ordering and inventory management.
  • Manage vendor and business associate relationships such as biohazard disposal, scrubs, cleaning services, maintenance, and regulatory partners.
  • Maintain clinic physical standards, ensuring cleanliness, patient-friendly aesthetics, and strong first-impression quality.
  • Ensure compliance with clinic policies, procedures, safety requirements, and operational standards.
  • Facilitate team meetings, daily huddles, and internal communications to support operational clarity and cohesion.
  • Lead employee engagement activities, morale-building events, and onsite recognition programs.
  • Support the implementation of new operational initiatives, workflows, and clinic rollout plans.
  • Travel that is limited to nearby clinic locations if applicable; otherwise rooted onsite as a daily leader.
  • Other duties and projects assigned.

Position Requirements

  • Education:
    • Bachelor’s degree preferred.
  • Experience:
    • 5+ years of experience in healthcare operations, ideally within a medical practice or multisite care environment.
    • Demonstrated supervisory experience with the ability to effectively lead, mentor, and support staff.
  • Skills:
    • Strong understanding of medical practice operations, patient-scheduling systems, EMR systems, medical and insurance terminology, and regulatory requirements.
    • Proven analytical, organizational, and critical thinking skills.
    • Excellent interpersonal, written, and verbal communication abilities.
    • Ability to train and mentor team members and prepare clear reports and documentation.
    • Demonstrated ability to foster a positive, collaborative, and patient-centered environment.

Compensation & Benefits

  • Salary Range: $100,000 - $150,000 annually. Final offers will be based on experience, skills, and qualifications.
