Job description

TRAKAmerica is a national accounts receivable management and outsourcing provider for many of the largest financial institutions in the country. As we continue to grow, we’re looking for a Director, Automation Implementation is responsible for executing and scaling TRAKAmerica’s affidavit automation processes.

Position Summary

This role partners closely with internal teams and IT to implement workflows, troubleshoot issues, and drive resolution across systems, data, and external partners. This position is classified as exempt under the FLSA and will not earn overtime for any hours worked in excess of 40 hours in a given work week. This position is eligible for an annual performance-based bonus.

This is a hands-on role requiring strong analytical skills, SQL proficiency, and the ability to independently manage complex, process-driven work.

Key Responsibilities

Automation Implementation

  • Execute defined automation workflows across clients, firms, and jurisdictions
  • Translate business requirements into actionable steps across systems, templates, and data flows
  • Support rollout and expansion of affidavit automation initiatives

Issue Identification & Resolution

  • Monitor affidavit pipeline and identify stuck or failing accounts
  • Diagnose root causes (data issues, document gaps, template errors, system logic)
  • Drive resolution by coordinating with IT, internal teams, and external partners
  • Ensure issues are fully resolved and minimize repeat occurrences

SQL & Data Analysis

  • Use SQL to:
    • Validate and research account-level data
    • Investigate automation failures and inconsistencies
    • Support debugging and issue resolution
  • Communicate clear, actionable requirements to IT for system fixes

Template & Firm Coordination

  • Prepare and standardize affidavit templates for automation
  • Coordinate with attorney firms to obtain, update, and approve templates
  • Ensure templates align with variable-field structure and automation requirements

Cross-Functional Coordination

  • Serve as a primary point of contact for execution across:
    • Supplier Services
    • IT / SQL Team
    • Offshore partners (KnovaOne)
    • Attorney firms
  • Track and manage issues through resolution

Process Documentation & Improvement

  • Maintain SOPs and documentation for automation workflows
  • Identify inefficiencies and recommend process improvements
  • Support ongoing refinement of automation execution

Tools & Technology Utilization

  • Leverage tools (including AI-based tools) to improve efficiency in analysis, troubleshooting, and documentation
  • Identify opportunities to streamline workflows through automation

Qualifications

Required

  • 4–8+ years of experience in operations, data analysis, or process-driven roles
  • Strong SQL skills (ability to query, troubleshoot, and validate data independently)
  • Experience working cross-functionally with IT or technical teams
  • Strong analytical and problem-solving skills
  • Ability to manage multiple workflows independently

Preferred

  • Experience with workflow or document automation
  • Experience in legal, financial services, or similar environments
  • Experience coordinating with external partners or offshore teams
  • Familiarity with AI tools (e.g., ChatGPT) for productivity and analysis
