Job description

This position will assist the staff in daily client related activities, all of which revolve around projecting a positive image of the firm through relationship building and the diplomatic handling of issues that may arise through the course of business. Responsibilities include greeting and directing visitors, setting up for client visits and meetings, and ensuring visiting clients are made comfortable. In addition, the candidate will serve in a junior administrative role and have the ability to master routine administrative duties, including work in Microsoft Office.
Your Impact:
  • Answering very busy multiple phone lines and greeting customers with warmth, efficiency, and professionalism.
  • Handle visitors, candidates, and guests professionally.
  • Maintaining front reception area and conference rooms.
  • Managing incoming and outgoing mail and vendor deliveries.
  • Coordinate travel arrangements for project team members.
  • Must display and maintain a professional appearance at all times.
  • Assist with general office management duties (i.e. processing/ordering/stocking supplies, calendar management, and booking conference rooms).
  • Perform other clerical duties, such as data entry, filing, photocopying, collating, preparing correspondence and documents, etc.
  • All other duties as assigned.

  • 3+ years' experience in a client service role.
  • Punctuality and dependability are essential.
  • Strong customer service skills.
  • Ability to interact with senior management, external client organizations, vendors and general public.
  • Build and nurture strong personal relationships with clients.
  • Process individual needs of the clients.
  • Ability to work well under pressure, juggle and prioritize multiple projects and adjust work accordingly, often against tight deadlines.
  • Proficiency in Microsoft Office Suite with demonstrated expertise in Word, Excel and PowerPoint.

  • Strong organizational skills.

The actual offered base salary for California locations will vary depending on factors such as individual qualifications, education, experience, skills, job-related knowledge, work location, and internal equity. We would not anticipate that the individual hired into this role will be at or near the top half of the range provided, but the decision will be dependent on the factors of each individual case. The compensation package may also include incentive compensation in the form of discretionary bonuses in addition to base salary and a full range of medical, financial, and other benefits. The salary range for this position is below.
