About the Opportunity
Job Summary
Northeastern University is seeking a collaborative and consultative digital solutions analyst to support the identification, activation, adoption, and ongoing use of AI-enabled and enterprise digital tools across the university. This role blends business analysis, digital solutions engineering fundamentals, consulting, and enablement delivery to help staff adopt practical digital workflows that drive operational efficiency.
This role supports university stakeholders, especially operational leaders, in the effective use of AI-enabled and enterprise digital tools by translating business needs into practical solutions, supporting implementation, creating documentation, and contributing to training and adoption activities tied to day-to-day workflows. The Digital Solutions Analyst works as part of a cross-functional enablement team and collaborates closely with consultants, solutions engineers, and senior enablement staff to identify and deliver consistent, supportable outcomes.
Digital Solutions is evolving from a primarily tools- and training-oriented function into a scalable enablement model focused on embedding AI-enabled and enterprise digital tools into day-to-day workflows and delivering consistent outcomes at scale. In this role, the Digital Solutions Analyst contributes to that model through hands-on identification and support of workflow-focused solutioning, adoption and enablement activities, documentation, and continuous improvement, in partnership with senior enablement staff and technical teams.
24/7 business continuity:
This role requires occasional availability outside of traditional working hours to address urgent business needs as they arise, including, but not limited to, responding to security incidents, supporting software deployments, resolving software issues or system breaks, and addressing other critical operational requirements. The ideal candidate must be proactive and adaptable, ensuring minimal disruption to business operations by promptly addressing any issues, regardless of time or day. Flexibility and a strong sense of urgency are essential for success in this position.

This role requires flexibility in performing duties outside of the primary responsibilities to support evolving business needs. The ideal candidate must be adaptable and willing to take on additional tasks or projects as required, ensuring smooth operations across the organization. This may include stepping in to assist with cross-functional teams, handling unexpected challenges, or contributing to initiatives that support business growth and success. A proactive mindset and the ability to pivot quickly are essential for thriving in this dynamic environment.
Hybrid work schedule:
This role is hybrid and in the office a minimum of three days a week to facilitate collaboration and teamwork. In-office presence is an essential part of our on-campus culture and allows for engaging directly with staff and students, sharing ideas, and contributing to a dynamic work environment. Being on-site allows for stronger connections, more effective problem-solving, and enhanced team synergy, all of which are key to achieving our collective goals and driving success.

Minimum Qualifications
  • Bachelor's degree in Information Technology, Business, Computer Science, Education, or a related field; or equivalent combination of education and experience.
  • Two or more years of experience in business analysis, digital solutions support, systems enablement, process redesign, consulting, training delivery, product support, or comparable roles supporting technology adoption.
  • Familiarity with enterprise productivity platforms and collaboration tools (for example Microsoft 365, Teams, SharePoint, OneDrive, Forms) and exposure to AI-embedded tools such as Microsoft Copilot or comparable solutions.
  • Working proficiency in problem solving, requirements gathering, process mapping, solution documentation, and translating user needs into actionable configurations or recommendations.
  • Experience creating and supporting training, enablement, or adoption activities (for example job aids, walkthroughs, demos, office hours, or cohort sessions).
  • Strong communication and stakeholder engagement skills, with the ability to translate business needs into clear requirements and practical recommendations that can be understood by non-technical stakeholders.
Key Accountabilities & Responsibilities
AI and Digital Enablement Consulting and Direct Enablement Delivery
  • Lead or co-lead discovery conversations with leadership, staff and other university community members to understand business needs and identify practical opportunities for AI-enabled and digital workflow reengineering. Document requirements and translate day-to-day work challenges into clear enablement actions (for example targeted coaching, workflow redesign, templates, and job aids).
  • Deliver direct enablement through role-based demonstrations, office hours, drop-in support, and working sessions tied to real tasks and workflows.
  • Ensure the solutions are aligned with security and compliance related to AI tools by reinforcing practical guardrails and appropriate workflows for AI-enabled tools as defined by the University and program leadership.
  • Coordinate with senior enablement staff on engagement planning, sequencing, and follow-up to reinforce adoption and consistency across units.
  • Escalate complex cases (advanced solution design, platform constraints, governance questions) to senior analysts or program leadership as appropriate.
Solution Analysis, Workflow Design, and Implementation Support
  • Participate in the analysis and design of AI-enabled and enterprise digital solutions, with an emphasis on out-of-the-box capabilities, maintainability, and supportability.
  • Create and maintain core solution artifacts, including requirements, process maps, workflow documentation, and solution documentation for implementation and handoff.
  • Assist with configuration and implementation tasks within defined scope, including setup and configuration of approved tools and lightweight workflow automation support.
  • Execute testing and validation activities, including test planning and execution within scope, supporting user acceptance testing, and confirming requirements are met.
  • Partner with Digital Solutions Consultants and Solutions Engineers to translate requirements into deliverables and coordinate technical handoffs for complex builds.
  • Contribute to reusable solution patterns and assets that accelerate delivery across common workflows.
Training, Enablement Assets, and Adoption Support
  • Develop enablement materials tied directly to workflow adoption, including job aids, quick-start guides, templates, examples, walkthroughs, and short reference guides.
  • Co-facilitate enablement sessions and cohorts, including structured training sessions, targeted workshops, and follow-up reinforcement sessions.
  • Support an ongoing enablement cadence (for example office hours and targeted follow-ups) that is driven by operational needs rather than tool-only training.
  • Incorporate participant feedback into improvements to enablement assets, focusing on clarity, usability, and relevance to day-to-day work.
  • Maintain content currency by updating materials as tools, platforms, and workflows change.
Platform and Service Support Contributions
  • Support intake and triage by assessing requests, identifying patterns and recurring issues, and coordinating escalation paths as needed.
  • Assist with user support and issue resolution through troubleshooting within defined scope and coordinating with senior analysts or technical teams for deeper issues.
  • Contribute to knowledge and operational readiness by updating knowledge articles, maintaining support playbooks, and capturing repeatable support steps.
  • Support change adoption and release readiness by helping evaluate user impacts of updates and refreshing training and documentation to reflect changes.
  • Coordinate with vendors and internal technical teams as needed to support continuity and consistent service experiences.
Measurement, Feedback Loops, and Continuous Improvement
  • Collect and synthesize feedback from enablement engagements to identify common adoption barriers, repeated user questions, and gaps in documentation or training.
  • Track basic enablement and adoption signals using templates and measurement approaches established by program leadership.
  • Identify opportunities to improve enablement delivery by simplifying materials, proposing repeatable workflow patterns, and standardizing content where appropriate.
  • Stay current on platform and AI tool changes and bring forward practical recommendations for incremental improvement.
