Job description

Overview:
Lead and enhance project delivery and operational excellence across HGA's integrated architecture and engineering practice!
Locations: Minneapolis, MN; Milwaukee, WI; or Washington, DC
This newly created Operations Project Manager position serves as a critical link between operational strategy and execution-leading and supporting firmwide initiatives that strengthen project delivery, optimize systems and workflows, and enhance coordination across markets, disciplines, and support teams.
Partnering closely with the VP of Operations and other senior leadership, this role brings structure and clarity to complex, cross-functional efforts, translating ideas into actionable plans and scalable solutions that improve how teams collaborate and deliver.
In this role you will:
Operational Project Management
  • Guide the planning and execution of firmwide Operations initiatives, including software implementations, process improvements, and cross-market coordination efforts.
  • Partner with senior leaders in defining project scope, objectives, success metrics, and key performance indicators (KPIs).
  • Develop and maintain integrated project plans, aligning timelines, milestones, deliverables, risks, and dependencies.
  • Coordinate and drive internal cross-functional resources to deliver initiatives on time, within scope, and aligned with firm priorities.
  • Deliver clear, consistent project updates, including status, risks, and recommended actions for stakeholders.

Process Improvement and Standardization
  • Evaluate and analyze existing workflows to identify and prioritize opportunities to improve efficiency, consistency, and scalability across teams.
  • Lead or support process mapping and documentation efforts to clarify roles, responsibilities, and workflows.
  • Develop and refine standardized procedures, templates, and tools to support consistent project delivery.
  • Track and evaluate the effectiveness of process improvements over time, recommending adjustments based on performance and feedback.

Firmwide Systems and Technology Support
  • Collaborate with Finance, IT, Digital Practice, and project teams to implement and optimize business systems and tools (e.g., Vantagepoint, project management tools, HGA's data warehouse).
  • Gather and synthesize user requirements and assist in system configuration, testing, prioritization, and rollout activities.
  • Support change management efforts, including training, documentation, and communication to drive user adoption.
  • Monitor user feedback and adoption, escalating issues and recommending improvements to enhance performance and user experience.

Cross-Functional Collaboration
  • Partner with teams across markets, disciplines, and support functions to advance initiative delivery and alignment.
  • Lead and/or support committees, task forces, and working groups focused on operational improvements.
  • Build effective working relationships that foster collaboration, accountability, and shared ownership of outcomes.

You will need to have:
  • Bachelor's degree in IT, Architecture, Engineering, Interior Design, Construction Management, or a related field.
  • 3-6 years of project management or operations experience; experience in A/E, construction, or professional services preferred.
  • Working knowledge of Microsoft Office Suite (Excel, PowerPoint, Teams) and project management platforms; experience with data visualization tools (e.g., Power BI) and A/E industry systems (e.g., Deltek Vantagepoint) preferred.
  • Familiarity with project management methodologies (e.g., Lean principles, PMP framework).

Preferred
  • CAPM, PMP (in progress), Lean, or Six Sigma certification.
  • Exposure to ERP systems or business system implementation.
  • Basic understanding of architecture and engineering workflows, including project delivery processes, fee structures, and regulatory requirements.

Salary Information:
The pay range listed aligns to the geography of the office for which this position is posted. Actual compensation will be based upon work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Individuals in this role working more than 24 hours a week on a regular basis are eligible to participate in HGA's robust benefit programs which include an annual bonus and success sharing bonus program, 401(k) guaranteed contribution, paid parental leave, medical, dental and life insurance plans as well as PTO and short- and long-term disability programs. Salary Range: $118,000 - $127,000 (Mid-West) or $132,000 - $136,000 (East Coast) depending on qualifications and experience.
