POSITION SUMMARY:ย 

ย The Development Services Coordinator serves as the primary administrator of the Diocese of Charlotte Development Office's Blackbaud Raiser's Edge NXT constituent relationship management (CRM) system. This position is responsible for ensuring the integrity, consistency, and effective utilization of the donor database while supporting fundraising, stewardship, reporting, and donor engagement efforts across the Development Office.

The coordinator develops and maintains standard operating procedures (SOPs) for all CRM users, provides user training and support, oversees data quality and security, creates reports and dashboards, manages queries and exports, and identifies opportunities to automate and improve business processes. Working collaboratively with Development Office staff, the Catholic Foundation, Finance Office, and other diocesan departments, this position ensures that accurate donor information is available to support fundraising strategy, donor stewardship, and organizational decision-making.


KEY RESPONSIBILITIES:

  • ย Serve as the primary administrator for Blackbaud Raiser's Edge NXT, ensuring the integrity, security, organization, and effective use of all constituent, donor, gift, pledge, and fund records.
  • Develop, implement, and maintain database standards and Standard Operating Procedures (SOPs) to ensure consistent data entry, gift processing, reporting, and system utilization by all CRM users.
  • Create and manage queries, reports, dashboards, and data exports that support fundraising, stewardship, financial reconciliation, campaigns, leadership decision-making, and organizational reporting.
  • Oversee database quality control, including routine audits, duplicate management, data cleanup, record maintenance, imports, and other processes that ensure accurate and reliable donor information.
  • Lead CRM automation and business process improvements by identifying opportunities to streamline workflows, improve efficiency, and maximize the functionality of Raiser's Edge NXT and related Blackbaud applications.
  • Provide user support, training, and technical guidance for Development Office staff, ensuring consistent adoption of database policies, best practices, and efficient system utilization.
  • Support fundraising and donor stewardship efforts by preparing mailing lists, donor segmentation, acknowledgment reports, prospect information, campaign data, and other constituent information needed for development initiatives.
  • Collaborate with the Development Office, Finance Office, Catholic Foundation, and other diocesan departments to ensure accurate gift recording, financial reconciliation, data sharing, and reporting.
  • Monitor system performance, user access, and database security, maintaining appropriate permissions and ensuring compliance with diocesan policies regarding confidential donor information.
  • Remain current on Blackbaud enhancements and industry best practices, recommending and implementing improvements that strengthen the Development Office's fundraising and constituent management capabilities.

OTHER RESPONSIBILITIES:

  • Assist with gift processing and donor acknowledgment workflows as needed.
  • Coordinate data support for annual appeals, capital campaigns, planned giving, and special events.
  • Maintain user documentation, reference guides, and training materials.
  • Participate in departmental planning meetings and professional development opportunities.
  • Perform other duties as assignedย 

Requirements

ย POSITION REQUIREMENTS:


Education

  • Associate's or Bachelor's degree preferred, but not required, in Information Systems, Business Administration, Data Analytics, Communications, Fundraising, or a related field.

Experience

  • Minimum of three years of experience administering Blackbaud Raiser's Edge, a comparable donor CRM, or other technically complex CRM system.ย 
  • Demonstrated experience with reporting, querying, importing, exporting, and data management.
  • Experience developing written procedures and training documentation.
  • Experience supporting nonprofit fundraising operations, preferred.
  • Experience supporting multiple users within a CRM environment, preferred.

Skills

  • Advanced proficiency in Blackbaud Raiser's Edge NXT, preferred upon hire, and required within 6 months of date of hire in this role.
  • Strong understanding of database structure, constituent management, and fundraising operations.
  • Experience creating queries, exports, dashboards, reports, and automated workflows.
  • Strong analytical and problem-solving skills with exceptional attention to detail.
  • Excellent organizational and project management abilities.
  • Strong written and verbal communication skills.
  • Ability to translate technical concepts into user-friendly procedures.
  • Proficiency in Microsoft Excel, Word, Outlook, and Office 365.
  • Experience with Power BI, Power Automate, Power Query, or similar reporting and automation tools is desirable, but not required.
  • Ability to maintain confidential donor and financial information.
  • Demonstrated commitment to customer service and collaborative teamwork.

WORKING ENVIRONMENT:ย 

  • This is an onsite position at the Pastoral Center for the Roman Catholic Diocese of Charlotte.
  • Standard work office environment, with extensive computer usage.
  • Periodic travel within the Diocese of Charlotte for training and support.
