Position Overview

This role is in alignment with our flexible work policy (3 days on site required, 2 days flexible) based at any of our current locations in Phoenix, AZ - Santa Clara, CA - Denver, CO - Reno, NV - New Albany, OH - San Antonio, TX - Shackelford County, TX - Ashburn, VA - Sterling, VA - Port Washington, WI

Vantage is seeking a highly motivated, diligent, and hands-on New Site Development Project Coordinator to manage the administrative planning, reporting, and support of our North America Data Center projects. This role is critical in ensuring the successful development and execution of complex projects. The New Site Development Project Coordinator will collaborate with internal and external teams to ensure timely and efficient completion of project administration tasks. This person will be responsible for regular coordination with Market Development, Power Planning, Design, Finance, and Legal internal teams. The New Site Development Project Coordinator will be required to keep pace with Vantage's strategic land acquisition and leasing goals, including enhancing Vantage's administrative and contractual processes.

Essential Job Functions

Project Coordination:

  • Support organization of diligence documents & information

  • Track and organize incoming project documents from external and internal team members, document receipt of deliverables and share documents to team members as needed

  • Coordinate and schedule project meetings, create meeting agendas, take and distribute meeting minutes

  • Coordinate the flow of information to project stakeholders regarding contract and PO statuses, to ensure rapid execution of project contracts, POs and invoices

Contract Management:

  • Manage the contract process from start to execution, including project specific contracts and vendor agreements, and maintain accurate records of contracts and vendor commitments

  • Maintain accurate records of vendor contracts, sharing executed contracts to appropriate shareholders when needed, and document contract status

Purchase Order Management:

  • Create, review, and process POs for new site development projects

  • Ensure compliance with internal workflows

  • Verify project budgets are up to date and accurate. Verify budget and budget commitments with Development Manager throughout the project duration

  • Maintain accurate documentation for approvals and financial tracking (FARF, MORB Tracker, etc.)

Vendor Onboarding:

  • Facilitate the initial NDA and initial contracting process and negotiation discussions for new vendors, collaborate with involved parties to ensure contract execution in a timely manner

  • Facilitate Third Party Risk Management (TPRM) submissions and reviews for new vendors, monitor and track the review process end-to-end, and ensure timely receipt of required documentation

Collaboration and Communication:

  • Work closely with internal team members, specifically Development Managers and respective Assistant Development Managers, design and engineering, energy and construction teams, as well as external vendors, to ensure the rapid execution of project contracts

  • Coordinate the flow of information between all stakeholders, including internal leadership, ensuring that project updates, risks and requirements are communicated effectively

Reporting and Documentation:

  • Ensure project compliance with Vantage's document control procedures and filing specifications, maintaining accurate and organized project documentation.

  • Ensure that all project documents are easily accessible to team members and stakeholders while complying with VDC confidentiality policies

Job Requirements

  • Combination of education and/or proven experience as a Project Coordinator or in a similar role in construction, real estate development, finance, business administration, legal, or a related field.

  • 0-4 years of professional experience in an administrative, coordinator, or analyst role within construction, real estate development, finance, business administration, legal, or a related environment.

  • Preferred prior experience in construction administration, real estate development support, accounting/invoicing, or contract administration.

  • Working knowledge of common commercial contract concepts and the contract lifecycle, including intake, drafting, review, negotiation, execution, amendments, purchase orders, invoicing, and renewals.

  • Demonstrated experience supporting cross-functional teams, with frequent interaction across multiple stakeholders and departments.

  • Strong administrative capabilities, including: document management, contract or invoice tracking, meeting coordination, agenda creation, and note-taking

  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).

  • Strong written communication skills, with the ability to produce clear, professional documentation and correspondence.

  • Comfortable operating in a highly collaborative, fast-paced organization, supporting multiple leaders and workstreams simultaneously.

  • Experience creating and maintaining process documentation such as SOPs and knowledge bases a plus.

  • Willingness to take on a role with a meaningful portion of administrative and coordination responsibilities.

  • Familiarity with or exposure to tools such as: Yardi, Procore & Ironclad

  • Experience working alongside Legal, Finance, Design, Power Planning, or Market Development teams.

  • Interest in leveraging AI or automation tools for productivity (e.g., preparing meeting minutes, agendas, summaries).

  • Travel required is expected to be up to 5% but may increase over time as the business evolves.

Additional Details

  • Salary Range: $80,000 - 85,000 Base + Bonus (this range is based on Colorado market data and may vary in other locations)
