Front Desk Assistant

Reports to: Center Administrator

FLSA Status: Non-Exempt

Position Summary

The Front Desk Assistant serves as the first point of contact for patients and visitors at Nuvia Medicalโ€™s physician practices. This role is critical to ensuring a welcoming, efficient, and compliant front office operation. Responsibilities include greeting patients, managing appointments, verifying insurance (including Medicaid), and supporting accurate patient documentation. The Front Desk Assistant helps foster a positive patient experience while ensuring operational excellence and regulatory compliance.

Essential Duties & Responsibilities

โ€ข Greet and check in patients with professionalism and courtesy.

โ€ข Schedule appointments and manage clinic calendars to optimize provider time and patient flow.

โ€ข Answer phones, respond to patient inquiries, and route calls appropriately.

โ€ข Verify insurance eligibility, including Medicaid, and collect co-payments.

โ€ข Maintain accurate patient records and update demographic information in the EHR.

โ€ข Ensure compliance with HIPAA and payer documentation requirements.

โ€ข Support other administrative functions as needed, including correspondence, records requests, and reporting.

โ€ข Provide excellent service to patients and families, ensuring a welcoming and respectful environment.

โ€ข Collaborate with clinical and administrative staff to support efficient operations.

โ€ข Assist with coordination of referrals and patient follow-up appointments when needed.

Qualifications

โ€ข High school diploma or equivalent required.

โ€ข 1+ years of experience in a healthcare front desk or customer service role strongly preferred.

โ€ข Knowledge of medical office procedures and insurance verification required.

โ€ข Experience working with Medicaid populations required.

โ€ข Bilingual English/Spanish strongly preferred.

Compensation

Minimum: $16/hour

Midpoint: $18/hour
