QUALITY ADMINISTRATOR

BASIC FUNCTIONS

The Quality Administrator will provide support to the Quality Compliance team in maintaining a strong overall Quality Compliance Program including the Quality Management System and Supply Chain. This individual has the responsibility and authority to carry out all assigned tasks.

SPECIFIC DUTIES

GENERAL:

  • Produce detailed Excel, Word, and PowerPoint reports/presentations as needed by Department Leads.
  • Preparation of Quality Management Reviews, acquiring accurate data necessary to communicate the Quality Management System.
  • Evaluating QMR data and reporting back findings including but not limited to: trends, areas of concern, etc. to Department Leads.
  • Update management on open items related to projects.
  • Coordinate schedules, activities, meeting minutes and follow-up action items.
  • Provide support to External Provider Qualification program; identify risks and opportunities for improvement.
  • Provide support for updating all vendor files in EPDS as per approved Vendor Forms.
  • Assist Compliance team with functions related to document control.
  • Lead and/or conduct internal audits throughout the organization as directed by the Audit Program Manager in accordance with ISO19011
  • Assist personnel with on-the-spot audits and process walk through as requested.
  • Member of the "Surveys Team", thus responsible for completion of Incoming Self-Assessments as directed by the Director of Contracts.
  • Training of personnel when requested by Management on any responsible processes.
  • Act as a backup administrator to the Compliance Regulatory Platform.
  • Ensure compliance with company code of conduct and all applicable laws, regulations, rules and policies.
  • Update maintain and grow tracker with any applicable incidents as directed
  • May be assigned additional responsibilities as directed by the Quality Compliance Manager

QMS TRAINING ADMINISTRATOR:

  • Input training requirements provided by the Management Representative for all QMS applicable job titles
  • Ensure newly onboarded employees are meeting training requirements within the 90-day probationary period
  • Ensure training of revised documents are completed within the two-week CTG requirement. Follow up with department heads as needed to ensure trainings are conducted
  • Send Weekly Delinquent Training Report to department heads as applicable.
  • Follow up with department heads regularly to ensure trainings are conducted and training records are closed
  • Upload and maintain employee certifications within the Compliance Regulatory Platform
  • Monitor employee certification expiration dates and notify department heads accordingly
  • Ensure operational employees’ vision exams are up-to-date and notify department heads accordingly

STANDARD REQUIREMENTS

Comply with all requirements of International Standard ISO9001, ISO17025 and ISO27001, NIST 800-171, CMMC – Cyber Security and Informational Data Security Requirements. Aerospace Management System Standards AS9100, AS9120, IDEA- QMS-9090, ASA-100 and supporting construct standards AS6081, AS6171, IDEA-STD-1010, AC7402-CAAP, CCAP-101, FAA AC00-56, ANSI/ESD S20.20. All employees shall commit and comply with the requirements of AS5553 for Counterfeit Electrical, Electronic and Electromechanical (EEE) Parts – Avoidance, Detection, Mitigation and Disposition practices.

METRICS AND MEASURABLES

  • Weekly recertification rate to meet annual requirements for External Providers (as needed with Supply Chain designee)
  • Re-Certification rate average turn time.
  • Procurement (Sales) Weekly completion rates
  • Sub-Tier assessments submitted for completion + return rates.
  • New Sub-Tiers added monthly.
  • Closures of all said projects within CTG’s Compliance Project Management tool
  • Customer Surveys received and documented monthly

EDUCATION / EXPERIENCE / COMPENTENCY

  • Bachelor’s degree, preferred.
  • 1-3 years of administrative experience.
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, Excel and Project Management Tools.
  • Detail oriented and comfortable working in a fast-paced office environment
  • Exceptional communication skills.
  • Superior organization skills and dedication to completing projects in a timely manner.
