Job description

Job Title: Medical Secretary

Reports To: Practice Administrator
Department Administrative

Classification: Non-exempt

Category: Full-time

Location: LIGS


Summary: Under the direction of the Practice Administrator, the Medical Secretary provides clerical support to the physicians and patients. Medical Secretaries should have a positive attitude, ability to multi task and remain calm under occasional stressful situations.


Essential Responsibilities

  • Directed by the Practice Administrator, gives instructions to patients as ordered by physicians
  • Answers all calls, greeting the caller in a professional manner.
  • Documents all conversations and work done on behalf of patients in the patient’s electronic health record.
  • Displays consistent positive and polite approach towards patients, vendors, management, and co-workers.
  • Maintains clean, orderly, and organized work stations.
  • Reliable and flexible, keeping absences and tardiness to a minimum, acceptable standard.
  • Attend all staff meetings, training, and/or testing.
  • Resolves problems either independently or by knowing when appropriate to seek out another resource
  • Work varying/longer schedules when needed by the Practice
  • Performs specialized tasks and projects as requested by physicians and management in an accurate and timely fashion.
  • Cross trains with other office positions and provides coverage for other positions as needed or directed.
  • Abides by the policies, procedures, guidelines, rules, testing, security, administration and confidentiality of the patients and the practice under the guidelines of OSHA and HIPAA laws and safeguards.
  • Performs other duties as required.

  • Must have transportation to work and if required, to remote offices when required.
  • Demonstrate strong time management skills and organization skills
  • Must be able to exercise discretion, diplomacy and tact in patient and staff interaction
  • Must consistently display patience, courteousness and respect.
  • Must be well versed or the ability to learn, understand and perform medical office functions.
  • Knowledge of HIPAA and OSHA laws and safeguards, or the ability to be trained in HIPAA and OSHA, and be able to follow these guidelines at all times.


Education and Experienced: High school graduate or GED. Prior medical office experience preferred, but will train qualified candidate.


Supervisory Responsibility: None


Work Environment: The job operates in a professional medical office environment. This role routinely uses standard office equipment such as computers, phones, scanners, photocopiers, and fax machines. This position may expose worker to hazardous or toxic substances commonly found in medical offices.

While performing the duties of this job, the employee is regularly required to see, talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position is primarily a desk position, requiring sitting longer hours at the computer typing on a keyboard.
