Under limited supervision, the Admissions Processing Specialist contributes to the college's strategic enrollment initiatives promoting a culture that supports diversity and inclusion in all forms. This position performs a very high volume of data entry, makes preliminary admission determinations, and ensures the highest level of data integrity and support for Postsecondary Enrollment Options (PSEO), undergraduate, and international student admissions. Responsibilities are completed in compliance with policies set forth by the Minnesota State system, state and federal policies pertaining to data privacy laws, state and federal government legislation and regulations, and college admissions policies. The work uses specialized software such as the Minnesota State student database system (ISRS), a customer relationship management tool (Admit Gold), document imaging software (Perceptive Content), student communication and ticketing tools (COMM100), and reporting tools (Power BI, Share Point). This position also provides exemplary customer service and support to both internal and external constituents. The individual in this position collaborates with other departments in Student Affairs and Academic Affairs to facilitate a student ready admissions experience.

This position will actively advance the college's strategic goals, including to achieve equity in educational outcomes and to support a culturally responsive and service-oriented culture, through individual and departmental efforts.

Minimum:

  • Understand information sufficient to maintain complex records, files, notes, and logs.
  • Document and records management sufficient to maintain electronic or paper files for efficient organization and retrieval of information.
  • Receive and review source documents, compare documents to database information, and edit documents.
  • Accurately input, verify, and edit electronic data.
  • Locate, identify, and correct data entry errors.
  • Compile, research, and analyze information from databases.
  • Interpret and explain complicated program information in an understandable manner to customers, clients, and coworkers, such as policy, procedures, eligibility requirements, and application details.
  • Respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes.

Preferred:

  • One year or more of recent high-level data entry performance within a college or university setting.
  • Commitment to creating equitable experiences for diverse student populations.
  • Experience providing direct customer service in a college or university setting.
  • Ability to manage multiple concurrent priorities and complete tasks within established deadlines.
  • Knowledge of College, Minnesota State, Federal, State and local laws, rules, policies and procedures pertaining to student data privacy, FERPA, and admissions.
  • Advance knowledge of computer applications, i.e., student record management systems, document imaging software, digital communication platforms, and CRM systems.
  • Professional working proficiency in Spanish, Somali, Hmong, or Russian
