What is a dance admin?

Dance Admins, or Dance Administrators, are professionals who manage the administrative and operational aspects of dance organizations, schools, or companies. Their responsibilities often include scheduling classes or performances, managing registrations, coordinating with instructors and dancers, handling communications, and overseeing budgets or fundraising efforts. Dance Admins play a crucial role in ensuring that the artistic and educational goals of their organization are met efficiently. They often serve as the bridge between creative staff, students, parents, and the broader community. Strong organizational, communication, and event management skills are essential for success in this role.

What are some of the typical challenges a dance admin faces when coordinating schedules and events?

Dance Admins often juggle multiple schedules, including those of instructors, students, and facility availability, which can be challenging when managing last-minute changes or overlapping commitments. They are responsible for ensuring clear communication between all parties and must be adept at prioritizing tasks and resolving conflicts quickly. Additionally, Dance Admins may handle event planning, from booking venues to overseeing registrations and promoting performances, requiring strong organizational and multitasking skills.

Dance Studio Administrator

Join Our Team

We are seeking a highly organized, proactive, and experienced Dance Studio Administrator to become an integral part of our team. This position is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and takes pride in creating exceptional experiences for students, families, and staff.

Our ideal candidate is someone who doesn't simply complete assigned tasks—they anticipate needs, identify opportunities for improvement, and develop solutions that help the studio operate at its highest level.

Responsibilities

  • Manage the day-to-day administrative operations of the studio.
  • Serve as a welcoming and professional point of contact for students, families, and visitors.
  • Communicate clearly and professionally in person, by phone, and through email.
  • Create, maintain, and organize spreadsheets, reports, schedules, and administrative records with a high level of accuracy.
  • Assist with registration, tuition management, studio communications, and event coordination.
  • Develop systems and processes that improve efficiency and organization.
  • Anticipate potential issues and proactively implement solutions before they become problems.
  • Support studio owners, instructors, and staff with administrative and operational needs.
  • Maintain confidentiality while handling sensitive information.
  • Help coordinate competitions, performances, recitals, and studio events.

Qualifications

The ideal candidate will possess:

  • 5+ years of professional administrative experience
  • Previous experience working in or with a competitive dance studio (preferred or strongly desired)
  • Advanced proficiency in creating and managing spreadsheets (Microsoft Excel and/or Google Sheets)
  • Exceptional organizational and time management skills
  • Strong attention to detail with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • A proactive mindset with the confidence to take initiative and solve problems independently
  • The ability to think critically and develop practical solutions without waiting for direction
  • Professional, friendly, and polished customer service skills when interacting with clients and families
  • High standards of honesty, integrity, reliability, and dependability
  • The ability to work well independently while also collaborating with a team
  • Strong computer skills and the ability to learn new software quickly

Preferred Qualifications

While not required, the following experience would be a significant advantage:

  • Costume design experience
  • Sewing and garment alteration skills
  • Experience organizing costume inventory for performances or competitions
  • Knowledge of dance competition schedules, registration processes, and event logistics
  • Familiarity with dance studio management software

Who You Are

You are someone who naturally takes ownership of your work. You notice details that others overlook and enjoy creating systems that make everyone's job easier. You remain calm under pressure, communicate professionally with families and staff, and consistently follow through on commitments.

You don't wait to be told what needs to be done—you identify opportunities, solve problems, and help move the organization forward.

If you are dependable, organized, solution-oriented, and passionate about supporting a thriving dance studio community, we'd love to hear from you.

Company Description

For more than 70 years, we have been inspiring dancers through exceptional training, meaningful experiences, and a commitment to excellence. As one of the region's premier competitive dance studios, we are dedicated to helping students grow in confidence, character, and artistry in a positive and supportive environment.
Our team is built on professionalism, collaboration, integrity, and a passion for making a difference. We're looking for individuals who are proactive, solution-oriented, and excited to contribute to a thriving studio community while helping create an outstanding experience for every dancer and family.
