What You'll Do
The Operations Coordinator provides hands-on operational support to the Salt Lake City office, ensuring the smooth and efficient day-to-day functioning of office operations. This role supports a wide range of service areas including office services, mail and delivery, print production, facilities, food services, supplies and purchasing, guest services, space planning, and safety and security initiatives.
This is a highly visible role that interacts with multiple departments and requires strong judgment, discretion, and a commitment to delivering exceptional customer service in a fast-paced professional environment.
Operations Support & Coordination
  • Support daily office operations across multiple service areas to ensure efficiency and consistency.
  • Coordinate project and event planning meetings and assist in execution as needed.
  • Collaborate with operations teams to streamline processes and improve service delivery.
  • Track project progress, identify areas for improvement, and maintain accurate documentation and records.
  • Provide general administrative and operational support as needed.

Print, Copy & Digital Services
  • Create and manage digital service job tickets and ensure accurate billing records.
  • Perform print production tasks using high-volume printers, scanners, and copiers.
  • Process a variety of file types and convert documents to PDF format as needed.
  • Coordinate with internal stakeholders and external vendors to complete print requests accurately and on time.

Mailroom & Delivery Services
  • Manage incoming and outgoing mail, including courier services (FedEx, UPS, certified mail, etc.).
  • Track, log, and route mail and messenger items efficiently.
  • Coordinate specialty packaging and customer-specific delivery requests.

Facilities & Office Support
  • Assist with general office maintenance, repairs, and equipment upkeep.
  • Support office moves, furniture setups, conference room configurations, and new hire workspace preparation.
  • Partner with facilities teams and vendors to ensure timely resolution of service requests.

Safety, Security & Emergency Preparedness
  • Support implementation of safety and security programs, including emergency response and life safety drills.
  • Assist with coordination of training programs such as CPR/AED and emergency preparedness initiatives.
  • Partner with physical security and building management teams as needed.

Property Management Coordination
  • Serve as liaison between internal teams and building/property management for facility-related requests and issues.
  • Track and follow up on building work orders and service tickets.

Customer Service & Communications
  • Provide a high level of customer service to attorneys, staff, and visitors.
  • Monitor departmental email inboxes and respond to or route requests appropriately.
  • Coordinate internal and external resources to meet service needs in a timely manner.

What You'll Bring
Education & Experience
  • Bachelor's degree preferred or equivalent relevant experience.
  • Minimum of 3 years of experience in operations, facilities, or office services roles.
  • Experience in mailroom and/or print production environment strongly preferred.
