Operations Coordinator Role Overview

We’re looking for a systems-minded Operations Coordinator to support the operational backbone of our Marketing team. This role owns governance documentation, operational reporting, and cross-functional logistics — ensuring the team runs efficiently, consistently, and with full visibility into how work is getting done.

This is the right role for someone who thrives in the details, loves building and maintaining systems, and finds real satisfaction in helping teams operate at a higher level. You’re organized, proactive, and naturally drawn to process improvement. You enjoy creating tools and playbooks that make work clearer and easier for everyone around you.

What You’ll Do
  • Create and maintain governance documentation, playbooks, and process templates that keep the team aligned and operating consistently
  • Track operational metrics, KPIs, and dashboard reporting to support data-informed decisions
  • Coordinate recurring operational and team-wide meetings, agendas, and follow-ups to ensure aligned execution
  • Manage tools, templates, and workflow systems across the team
  • Maintain and clean up operational tools, including Airtable and Asana — managing workspace structure, field hygiene, outdated records, and user access
  • Build and maintain the dashboards and tools used for resource tracking and capacity planning, plus administrative coordination
  • Ensure team adherence to established processes, escalating exceptions to the Operations Manager
  • Partner with the Operations Manager and Project Managers to continuously improve systems and workflows
  • Identify operational gaps and recommend process improvements to drive clarity, efficiency, and team velocity
 What We’re Looking For
  • 1–2 years of experience in operations, marketing operations, project coordination, or a related role
  • Process- and systems-oriented; enjoys building structure, maintaining organized workflows, and creating scalable tools
  • Strong attention to detail with the ability to manage multiple priorities simultaneously
  • Clear, proactive communicator who keeps stakeholders informed and connected
  • Comfortable in fast-moving environments with shifting priorities
  • Experience with Asana, Airtable, or similar project management and reporting tools preferred
  • Bonus: experience with dashboard reporting, KPI tracking, or operational governance in a marketing environment
