Job description

LHH is actively seeking an Operations Coordinator for one of our top clients in South Bend! This will be a contract opportunity with our client and will report onsite to their office in South Bend, Indiana.
Position Overview
We are seeking a detail-oriented and highly organized Operations Coordinator to support day-to-day fulfillment, shipping, inventory, and administrative operations at our South Bend headquarters.
This is a temporary position supporting the Operations team while the Operations Manager is on maternity leave . The ideal candidate is dependable, proactive, customer-focused, and comfortable working independently in a fast-paced office environment. This role will work closely with Sales, Customer Care, IT, and company leadership to ensure orders, shipments, inventory, and operational needs are handled accurately and efficiently.
Key Responsibilities
  • Manage daily order fulfillment and shipping activities from the headquarters office.
  • Process and fulfill orders through the company's ERP system.
  • Create shipping labels using UPS.com and UPS WorldShip.
  • Coordinate with UPS representatives to ensure daily pickups are completed.
  • Ship marketing materials, wood samples, pamphlets, customer support items, and other materials.
  • Enter and maintain accurate shipment tracking information in the ERP system.
  • Track orders and shipments through customer portals and internal systems.
  • Maintain accurate inventory counts for samples, marketing materials, packaging supplies, and other HQ inventory.
  • Monitor packaging and shipping supplies and reorder materials as needed.
  • Maintain IT equipment inventory and communicate equipment or supply needs.
  • Assist with resolving shipping, inventory, fulfillment, and other operational issues.
  • Maintain operational trackers, spreadsheets, and records.
  • Support the Operations team with additional day-to-day tasks and projects as needed.
  • Serve as an onsite operational resource and work collaboratively with cross-functional teams.
Required Skills & Experience
  • 2+ years of experience in operations, shipping/logistics, fulfillment, or administrative support.
  • Strong organizational skills and exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Outlook and Excel.
  • Comfortable working with spreadsheets, data, trackers, and reports.
  • Ability to work independently with minimal supervision.
  • Strong follow-through and ability to manage multiple priorities.
Preferred Qualifications
  • Experience using UPS WorldShip.
  • Experience working with an ERP system.
  • Experience with Sage, SAP, or a similar business system.
  • At least one year of supply chain experience or familiarity with supply chain processes.
