Job description

The Customer Service Operations Associate (CSOA) / Processing Specialist (PS) is responsible for ensuring the Processing Team creates and submits accurate filing documents that align with customer requirements and applicable state regulations. This role involves resolving or appropriately delegating filing-related tasks, tracking them through completion, and delivering final documents to customers.

The Processing Specialist plays a critical role in organizational success by helping processing operations meet or exceed customer expectations while providing support to other departments as needed. In addition, the PS continuously evaluates workflows, identifies opportunities for improvement, and contributes recommendations that enhance operational efficiency.

Success in this role requires learning and applying the full range of BizFilings products and services, as well as the regulations governing various jurisdictions. Processing Specialists are responsible for reviewing and fulfilling incoming orders, contributing to customer satisfaction, supporting process improvement initiatives, and representing Wolters Kluwer within the industry and assigned territory.

Responsibilities include, but are not limited to:

  • Review orders and legal documents for accuracy and completeness.
  • Verify company name availability with state departments.
  • Prepare and file documents with the appropriate state and county agencies.
  • Obtain Federal Tax Identification Numbers (EINs) from the Internal Revenue Service (IRS).
  • Apply for S Corporation status with the IRS.
  • Coordinate the publication of required notices with appropriate newspapers or journals.
  • Process and manage rejected filings, including any required follow-up actions.
  • Apply for approvals from various state agencies.
  • Gather and research information from state and county departments, as well as online resources.
  • Monitor and follow up on the status of orders with CT offices and state and county agencies.
  • Scan, package, and ship final documentation packages and client mail to customers.
  • Manage orders and communicate with customers participating in managed annual report services.

Required Qualifications

  • Bachelor's degree from an accredited college or university.
  • Minimum of two (2) years of experience using Microsoft Office Suite applications, including Word, Excel, and Outlook.
  • Typing proficiency of at least 40 words per minute.

Knowledge, Skills, and Abilities

  • Strong attention to detail with the ability to quickly and accurately integrate information from multiple sources.
  • Excellent written and verbal communication skills.
  • Experience gathering, researching, and analyzing data.
  • Ability to communicate effectively with state and county agencies, CT offices, the IRS, and a diverse customer base.
  • Strong teamwork and collaboration skills.
  • Ability to independently manage assignments, prioritize tasks, and meet deadlines.

Compensation:

$29,200.00 - $48,900.00 USDThis role is eligible for Bonus.

Compensation range listed is based on primary location of the position. Actual base salary offer is influenced by a wide array of factors including but not limited to skills, experience and actual hiring location.
