Overview
SOSi is seeking a highly organized and detail-oriented Project Assistant/Administrator to join our team. As our Project Assistant/Administrator, you will play a critical role in supporting our language service program for federal, state, and local law enforcement customers. You will work closely with our Program Manager to ensure that our contracts are executed efficiently and effectively, and that our linguists are properly trained, scheduled, and managed.
Essential Job Duties
  • Assist the Program Manager in managing and providing oversight to existing Title III and Non-Title III contracts for federal and state law enforcement agency customers.
  • Coordinate all aspects of program operation from Title III staffing to task order tracking to ensure that our contracts are executed efficiently and effectively.
  • Maintain and provide detailed time and attendance records on each contract employee on a weekly basis to ensure accurate billing and compliance.
  • Provide guidance and support to designated Lead Linguist-(supervisors) and generate reports, both internally and externally, to ensure that our linguists are properly trained, scheduled, and managed.
  • Select, assign, and schedule linguists based on the unique and diverse requirements of individual cases to ensure that we have the right resources in place to deliver high-quality language services.
  • Train and prepare tutorials for new and current employees in the latest software, procedures, and operational policies to ensure that our linguists have the skills they need to deliver high-quality language services.
  • Monitor and validate employee records to support cost control of all assignments and ensure that we are delivering value to our customers.
  • Assist with program management reporting and program tracking to ensure that our program is running smoothly and that we are meeting our customer's needs.
  • Coordinate travel of employees to and from assignments to ensure that our linguists are able to work effectively and efficiently.
  • Manage database entries and record maintenance to support program reporting and ensure accurate billing and compliance.
  • Verify the information on task orders received, ensuring that all details are correct, to ensure that we are delivering the services that our customers expect.
  • Create and submit customer project estimates to ensure that our contracts are executed efficiently and effectively.
  • Track task orders and linguists working for each project to ensure that we have the right resources in place to deliver high-quality language services.
  • Work with support components to ensure new hires (employees/consultants) are appropriately and timely setup in Cost Point system to ensure that our linguists are able to work effectively and efficiently.
  • Request travel arrangements for TDYs as needed to ensure that our linguists are able to work effectively and efficiently.
  • Track hotel and car reservations to ensure timely return and avoid late fees or extra charges, to ensure that we are delivering value to our customers.
  • Assist in preparing weekly, monthly, quarterly reports requested by the client, including Contractor Personnel Reporting Requirements (CPRR), to ensure that our customers are informed about our progress and performance.
  • Guide and assist linguists as needed to ensure that they have the support they need to deliver high-quality language services.
  • Coordinate transcription projects with the customer, linguists, and program management office to ensure that our customers' needs are met.

Qualifications
Minimum Requirements
  • Ability to obtain and maintain a security clearance.
  • U.S. citizenship or have been a permanent resident for at least three years, living in the United States for at least five years.
  • Bachelor's degree.
  • 3+ years of experience in project coordination or administration.
  • Excellent organizational and communication skills.
  • Strong attention to detail and accuracy.
  • Ability to effectively manage people and resources to satisfy project objectives and ensure completion of assigned tasks.
  • Ability to work well under pressure to meet specific deadlines.
  • Ability to multitask and manage multiple projects simultaneously.
  • Basic typing/word processing skills of at least 40 WPM.
  • Excellent computer skills.
  • Knowledge of Microsoft Office Suite.
  • Ability to prepare briefs and make oral and written presentations as required by SOSi.

Preferred Qualifications
  • Fluency in Spanish a plus.
  • Experience working with linguists or language programs is a plus.

Additional Information
Work Environment
  • Normal office working conditions.
  • Requires periods of non-traditional hours including consecutive nights or weekends when necessary.
  • May require ability to lift/and or move objects or packages of up to 25 lbs.
  • May require up to 25% travel in support of assigned tasks and responsibilities.
