Job description

Position Summary

An established real estate brokerage is seeking an organized, creative, and service-oriented Administrative & Marketing Coordinator to support both company-wide marketing initiatives and the daily needs of a local branch office.

This is a hybrid position that combines marketing coordination, content creation, office administration, and direct support for real estate agents. The coordinator will work closely with the company’s marketing team on broader campaigns and projects while also serving as an in-office resource for agents and branch leadership.

The ideal candidate is comfortable balancing creative marketing assignments with administrative responsibilities in a fast-paced, service-focused environment. Additional information regarding the company will be shared with qualified candidates during the interview process.

Schedule and Work Arrangement

  • Approximately 36 hours per week.
  • Three scheduled days per week in the assigned office.
  • Remaining scheduled hours may be completed remotely.
  • The specific hybrid schedule will be determined based on business and department needs.
  • Occasional attendance at company meetings, training sessions, or events may be required.

Key Responsibilities

  • Collaborate with the company’s marketing team to support campaigns, social media, events, recruiting efforts, and other company-wide initiatives.
  • Create and customize branded marketing materials, including social media graphics, flyers, postcards, presentations, email graphics, and event materials.
  • Assist with content planning, scheduling, proofreading, and maintaining marketing calendars.
  • Manage assigned marketing projects by gathering information, coordinating revisions and approvals, and ensuring deadlines are met.
  • Organize and maintain marketing templates, digital assets, photographs, logos, and completed materials.
  • Serve as an in-office resource for agents and branch leadership, providing professional and responsive support.
  • Assist agents with approved marketing materials, listing promotions, presentations, social media content, and available company resources.
  • Provide basic guidance on Canva, marketing platforms, presentation tools, and other company technology.
  • Support new agent onboarding by helping agents access marketing tools, templates, systems, and office resources.
  • Assist branch leadership with office communications, meetings, recruiting materials, events, presentations, and special projects.
  • Provide general administrative support, including preparing documents, maintaining files, monitoring shared inboxes and calendars, updating contact lists, and coordinating office needs.
  • Maintain organized office marketing materials, signage, supplies, displays, and shared resources.
  • Communicate recurring agent needs, questions, and feedback to the appropriate departments.
  • Participate in cross-training and provide support across administrative, marketing, and office functions as business needs arise. Team members are expected to assist one another and contribute outside their primary responsibilities when needed.
  • Maintain confidentiality when working with company, agent, client, personnel, or business information.
  • Perform additional administrative, marketing, and operational duties as assigned.

Qualifications

  • Two or more years of experience in marketing, administration, customer service, communications, real estate support, or a related field preferred.
  • Demonstrates a strong visual sense and an eye for design, including the ability to recognize clean layouts, effective use of color, balanced spacing, and professional presentation.
  • Experience creating marketing materials and social media content.
  • Proficiency in Canva and Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Strong written communication, proofreading, grammar, and editing skills.
  • Strong organizational, project-management, and time-management abilities.
  • Ability to balance scheduled marketing projects with immediate office and agent needs.
  • Comfortable learning new software, marketing platforms, databases, and company technology.
  • Professional, dependable, detail-oriented, and service-focused.
  • Able to work independently while maintaining regular communication with office and marketing leadership.
  • Able to exercise sound judgment and maintain confidentiality.
  • Reliable transportation and the ability to work from the assigned office three days per week.
