Job description

Job Type
Full-time
Description
MARMOSET IS SEEKING A RENEWALS AND LICENSING COORDINATOR
Marmoset is an open, inclusive company committed to fostering a diverse, equitable workplace. As Licensing & Renewals Coordinator, you'll be the engine behind our client agreements and invoicing: creating, reviewing, and finalizing license documents, tracking payments, and resolving billing questions, all while moving fast through a steady stream of deadlines. You'll also own our license renewals process end-to-end, from client outreach through reporting, working closely with the Client Services team to support Marmoset's client relationship strategy. This role rewards people who thrive on volume: someone who can hold a dozen moving pieces in their head at once, prioritize on the fly, and never let a detail slip even when the pace picks up. Success is measured by meeting monthly revenue goals and weekly KPIs. The ideal candidate is highly organized, detail-oriented, and energized by both administrative rigor and client service, with experience in Adobe, Microsoft Office, and DocuSign (or similar tools). Experience with contracts and legal documents is a plus. Location: Portland, OR (hybrid role).
You
Basics: You live in or near the Portland, OR metro area and can work a hybrid schedule (2 days/week in office, 3 days/week remote). You're built for high volume, fast turnaround work. You have an eagle eye for detail, but you don't let precision slow you down; you move quickly and accurately. You find satisfaction in both administrative rigor and building good client relationships.
Personality: Highly organized and detail-oriented, with a bias toward action. You triage, prioritize, and get moving rather than waiting for the perfect moment to start. Customer-service minded, with a knack for finding creative solutions under time pressure. Thrives on juggling multiple projects at once and enjoys the momentum of a fast-moving queue. Driven by results and purpose.
Abilities: Excellent written and verbal communicator who can context switch quickly between contracts, invoicing, and client conversations without dropping details. Comfortable with a high volume workload and tight turnaround times, moving fast on routine tasks so there's bandwidth for the ones that need extra care. Interested in diving into the back-of-house world of sync licensing, with an eye toward growing your sales and client relationship skills.
Experience: 1-3 years of admin experience. Experience with Adobe, Microsoft Office, and DocuSign (or similar products) required. Experience with Salesforce, HelpScout, contracts, and/or legal documents is a plus. Background in licensing, billing/AR, or client-facing administrative work is ideal.
Passion + Purpose: You thrive in community and collaboration, find fulfillment in getting the details right and helping clients feel taken care of, and want to be part of a fun, familial, highly creative environment.
Pay: Early-mid career role. Base salary + monthly performance incentives. Base pay DOE.

APPLICATION PROCESS
First, read this and see how it resonates with you. It's our "culture deck." https://drive.google.com/file/d/1JK9a-yfGDFaO8-IHWzv29zOUZkTXxtFA/view?usp=sharing
Next, submit a 1 page resume, a 1-2 page letter of interest (LOI), and 3 professional references in PDF format. In your LOI, please elaborate on your experience and your story so we can get to know you better, such as:

  • What is your superpower? What is your kryptonite? We value honesty and vulnerability.
  • What draws you to the "back-of-house" side of a business - the contracts, invoicing, and process work that keeps things running, even though it's not always the most visible part of the job?
  • This role is part detail-oriented admin work, part client relationship-building, with room to grow into more sales/client strategy over time. Which side excites you more right now, and where do you want to grow?
  • What's your communication style?
  • Tell us what stands out to you (good or bad) from the culture deck.
  • Most importantly, how do you see yourself making an impact at Marmoset?
