Job description

MacGregor Downs Country Club is searching for a Catering Sales Coordinator, as we continue our growth as one of the industry’s leading owner-operators of premier Country Clubs. Our need is for creative, high-energy professionals to serve our members and guest in the very unique role as Catering Sales Coordinator.

The Catering Sales Coordinator will work within the Catering operations of the Food & Beverage department. S/he will assist our Director of Catering Sales and will be in charge during their absence. We are looking for someone professional who shows ownership in the future role. Also who works with integrity and has the inspiration to bring the Catering operations to the next level in conjunction with our Director of Catering Sales.
Skills/Qualifications:
  • At least two years of catering operations experience.
  • Customer service experience in a hotel or country club.
  • Exhibits a high level of professionalism, with excellent communication skills, both oral and written.
  • Exception organization skills and attention to detail.
  • Hospitality career focus is a plus, must be driven, self-motivated and dedicated.
  • Demonstrate enthusiasm and commitment to Member/Guests satisfaction.
  • Computer knowledge is a must. Microsoft, Excel, and either POS systems or catering programs, knowledge of preparing invoices and filing systems is a plus.
  • The position is not limited to those duties listed. Duties and responsibilities can be changed, expanded, reduced, or deleted to meet the business needs of the club.
  • Must be able to stand for long periods of time (8 – 12 hrs.) Some bending, twisting, squatting, and lifting (up to 50lbs) will be required.
  • Must be available to work an average of 30 hours per week (varies greatly by season: peak season may cause a need for increased time, off-season may require less time) including nights, weekends, and Holidays.

Key Duties/Responsibilities:
  • Understand all catering menu items offered and accurately answer questions about menu items in regard to the preparation method, ingredients, portion size, and side items.
  • Understands the layout of rooms and the sales for the catering facilities.
  • Work in conjunction with the Director of Catering Sales to organize and execute the daily operation.
  • Conduct phone calls with catering clients and represent the Club, conduct follow-up phone calls.
  • Maintain customer satisfaction by investigating and resolving catering complaints about food quality and/or service.
  • Maintains daily, well-documented sales information, resulting in superior account service and increased revenues.
  • Promptly follows up on all customer calls and requests in an efficient and expedient manner.
  • Works closely with other members of the operation, such as the Banquet Manager, Banquet Captains, Accounting, etc.

Communication:
  • Communicates openly and honestly with all others in the organization.
  • Communicates respectfully at all times.
  • Does not expose customers to internal disagreements.
  • Resolves conflicts respectfully and in a timely manner, asking for assistance from the appropriate supervisor as needed.
  • Communicate needs promptly and efficiently.
  • Participates actively in the department team and all staff meetings.
  • Stays informed by reading all communications from the F&B Director and Director of Catering Sales.
