Job Title: Senior Cost Technician / Project Controls Analyst
Role Overview
We are seeking an experienced, detail-oriented Senior Cost Technician to serve as a cornerstone of our project controls team. In this role, you will be responsible for maintaining comprehensive cost control data files across the full project lifecycle, ensuring the financial integrity of project invoices, timesheets, and budgets. You will serve as the primary link between project teams, procurement, and vendors to ensure that costs are tracked accurately and that project financial data supports informed decision-making.
This is a senior-level technical role for a professional who thrives on accuracy, compliance, and process improvement. You will not only manage the "day-to-day" of invoice processing and data entry but also contribute to the development of project control standards, budget preparation, and forecasting workflows. Key Responsibilities
Project Financials & Data Management
• Cost Tracking: Maintain detailed and summary-level cost control data files for multiple projects throughout various stages of the project lifecycle.
• Invoice & Timesheet Reconciliation: Process project timesheets, manage the time-tracking database, and verify invoice accuracy by cross-referencing timesheets against signed contracts.
• Payment Oversight: Facilitate the invoice approval process with Project Managers, ensuring timely and accurate payments to vendors and contractors.
Reporting & Financial Analysis
• Strategic Reporting: Perform standard and ad-hoc cost reporting as required by project stakeholders; analyze data to provide meaningful insights into cost performance.
• Forecasting Support: Partner with multiple departments to monitor, share, and analyze financial data to improve the accuracy of project forecasting and budget development.
• Budget Development: Assist in the annual budget preparation process and the development of associated financial reports.
Cross-Functional Collaboration & Standards
• Contract Compliance: Collaborate with project staff to review contracts, ensuring a clear understanding of unit codes and cost structures to facilitate accurate tracking.
• Process Development: Contribute to the development of project control guidelines, standards, workflows, and job aids to improve department efficiency.
• Stakeholder Liaison: Establish strong lines of communication with suppliers and internal teams; resolve invoice discrepancies and cost-tracking issues with a focus on preventative action.
Qualifications & Requirements
Minimum Qualifications
• Education: High School Diploma or GED required; post-secondary education (Associate's or Bachelor's degree in Accounting, Business, or a related field) is strongly preferred.
• Experience Baseline: Minimum of 8+ years of professional experience in project cost control, project accounting, or related financial administrative roles.
• Technical Mastery:
oProven experience managing multiple project cost files and maintaining large-scale financial databases.
oStrong proficiency in data accuracy, invoice reconciliation, and contract auditing.
oHands-on experience with project control software and advanced Excel usage.
• Core Competencies: Exceptional attention to detail; strong communication skills with the ability to translate complex cost data into actionable information for Project Managers; ability to work independently while coordinating effectively across departments.
Preferred Attributes
• Proven track record of identifying and implementing cost-saving or cost-preventative process improvements.
• Familiarity with ERP or project controls software environments.
• Ability to assess stakeholder needs and tailor reporting/analysis to support diverse project requirements.
