Full-Time Care Coordinator - Operator
Location: Phoenix, AZ (Local Candidates Preferred)

Doctors of Physical Therapy is looking for a full-time Care Coordinator - Operator/Scheduler to join our growing team! This is a key role within our organization, serving as the first point of contact for many of our patients and helping ensure they receive exceptional care from their very first interaction.

We're looking for someone who is local to the Glendale/Goodyear, Arizona area, thrives in a fast-paced environment, can work independently with minimal supervision, has a flexible schedule with no scheduling restrictions, and is dependable. The ideal candidate is eager to learn, enjoys helping others, and is looking to build a long-term career with a company that values growth and development.

What You'll Do
  • Schedule new patient appointments according to physician, clinic/therapist, and payer requirements.

  • Complete accurate new patient intake and collect all required information.

  • Communicate with new patients and complete all required onboarding communication.

  • Schedule, reschedule, or cancel existing patient appointments while following all scheduling guidelines.

  • Document scheduling challenges, patient concerns, and appointment changes accurately in the system.

  • Record cancellations and updates in appointment notes.

  • Enter new referrals into the system and document all patient outreach attempts.

  • Follow up promptly on new referrals as directed by the management team.

  • Process faxed referrals and online appointment requests in a timely manner.

  • Monitor department email inboxes and website appointment requests throughout the day.

  • Answer incoming calls professionally and transfer callers to the appropriate department.

  • Take and deliver phone messages promptly when staff members are unavailable.

  • Communicate effectively with clinics and departments regarding VIP referrals, scheduling concerns, and regional trends.

  • Generate reports and call metrics as requested by management or when covering for the Lead Centralized Scheduler.

  • Provide remote scheduling and front desk support for new clinics, providers, or acquired locations.

  • Process patient payments securely over the phone.

  • Collaborate with the management regarding call volume, patient feedback, quality assurance, and workflow improvements.

  • Perform additional responsibilities as assigned by the Front Desk Coordinator Manager and/or Lead Centralized Scheduler.

  • Monday through Friday availability 10:00 am to 6:30 pm
    • Overtime opportunity on the weekends.
