Description The Hennepin County Medical Examiner's Office is seeking to fill two positions for Office Specialist III to provide process-driven administrative and customer service support while handling sensitive data in a detail-oriented, professional environment. These positions play a key role in supporting families, partner agencies, and internal staff by managing critical information, preparing essential documentation, coordinating front desk operations, and ensuring adherence to data governance policies. These ideal candidates are detail oriented, compassionate professionals who exercise independent judgment, excel at working with the public, and bring strong technical skills to support office operations.

Location and hours: These positions are located at the Hennepin County Medical Examiner's Office, 14250 County Road 62, Minnetonka, Minnesota 55345. There is no public transportation to this facility. The primary work schedule will be determined at the time of hire.
Core business office hours are Monday through Friday, 8 a.m. - 4:30 p.m. New Employee Orientation (NEO) for all new benefit-earning employees is in-person in downtown Minneapolis
Details about NEO will be provided upon hire. About these position types: These are full-time, benefit earning positions. These positions are internally classified as Office Specialist III.

In these positions, you will: Perform complex clerical work, including preparing, organizing, processing, and managing documents, records, mail, and forms. Maintain office supplies and inventories and assist with creating or updating departmental forms.
Provide customer service to the public, families, staff, and partner agencies across in-person, phone, and electronic channels. Explain policies and procedures, assist with forms, and resolve customer issues with professionalism and compassion. Enter, update, retrieve, and manage data in computer systems; generate reports; troubleshoot issues; and support others in using software and specialized equipment.
Process, verify, and record complex information, including financial data, and prepare, write, and proofread detailed correspondence and reports. Support special projects, perform additional administrative tasks as assigned, and ensure compliance with all data governance requirements when handling sensitive or confidential information. Need to have: One of the following: Two or more years of office clerical experience.
Completion of two or more years of post-high school education. An approved combination of education (3 semester credits = 1 month) and experience to equal two years or more. 18 months or more of office clerical experience and completion of the Office Specialist Pathway Training program.
One year or more of office clerical experience and completion of the Human Services Pathway Training program. Nice to have: Experience: Processing, verifying, and recording complex information, including financial data, and preparing, writing, and proofreading detailed correspondence and reports. Supporting special projects, performing additional administrative tasks as assigned, and ensuring compliance with all data governance requirements when handling sensitive or confidential information.
Performing data entry from paper and/or electronic documents into a computer system. Working with documents that include confidential and sensitive information that require careful attention to detail. Using Microsoft Office Suite applications such as Outlook, Excel, Word, Teams, etc.
Using Adobe Acrobat applications. Knowledge of: Using different computerized systems/databases. Ability to: Manage private and confidential data in accordance with state statutes for data governance.
Proofread and verify accuracy of numbers, correspondence, and written materials. Perform complex arithmetic calculations. Read, understand, and relay technical correspondence, policies, and procedures.
Manage multiple tasks, set priorities, and meet deadlines. Code and classify information accurately. Take initiative and apply sound judgment to problem-solving.
Draft clear, concise correspondence. Interpret reports, tables, and charts. Integrate and process complex information from multiple sources.
