Job Summary

The role of a Front Office Administrator is the initial point of contact with patients and a liaison between patients and clinic staff. They are responsible for being able to effectively and professionally communicate company policy, procedures, insurance and benefits information while providing exceptional customer service. The position is responsible for following all office, compliance, Medicare and HIPAA privacy and security policies.

Responsibilities and Duties

  • Answer phones, take and/or triage calls.
  • Schedule patients for services and help the team ensure treatment goals are met.
  • Manage the schedule, waitlist and rescheduling needs for efficient operations.
  • Communicate with patients to explain the clinic's practices for insurance, payment, and scheduling.
  • Contact insurance companies before the patient’s first visit to verify insurance coverage and obtain authorization when required. Communicate with patients to explain what will or will not be covered.
  • Collect patients' co-payments and patient due balances at each office visit.
  • Process incoming correspondence including emails, voicemails and faxes.
  • Perform other office support work for PT team as needed.
  • Assists to ensure compliance with Federal, Medicare and contractual guidelines and company compliance policies

Qualifications and Skills

  • Min. High School Diploma or GED required; Associates Degree or college level business courses preferred.
  • Previous experience in a busy medical office or similar face-to-face customer service environment requiring strong communication, organization, and follow-through skills required.
  • Ability to communicate effectively and professionally with a wide variety of people.
  • Strong organizational skills with attention to detail and accuracy.
  • Effective computer and technology skills.
  • Ability to handle multiple tasks in a very busy environment.
  • Demonstrated interest in self-development and the development of the staff.
