Job Description:

The Legal Assistant will provide high-level administrative and operational support to the Legal Department. This role will manage complex scheduling, travel, expenses, communications, and document coordination while also assisting with legal deadlines, contracts, outside counsel, and department-wide projects.

Key Responsibilities:

  • Manage a complex calendar, coordinate meetings, and schedule appointments for the Legal Department.
  • Coordinate domestic travel arrangements, including flights, hotels, and ground transportation, while maintaining detailed itineraries.
  • Prepare and process expense reports, invoices, and other administrative documentation.
  • Serve as a key point of contact for the Legal Department, managing incoming communications and ensuring requests are directed appropriately.
  • Draft, format, proofread, and edit legal documents, correspondence, reports, and presentations.
  • Track important legal, compliance, and departmental deadlines to ensure deliverables remain on schedule.
  • Research information and prepare summaries or status reports as requested.
  • Coordinate with internal teams and outside counsel to gather information, manage deadlines, and follow up on outstanding items.
  • Maintain organized legal files, correspondence, contracts, and other confidential documentation.

  • Assist with Legal Department and compliance meetings, including preparation of materials and meeting minutes.
  • Support visitor coordination, executive meetings, phone coverage, and other general administrative needs in partnership with the broader administrative team.

Qualifications:

  • 7+ years of experience as a Legal Assistant, preferably supporting a legal executive, attorney, or legal department.
  • Experience managing complex calendars, travel arrangements, expenses, confidential documents, and competing priorities.
  • Strong proficiency with Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Highly organized and exceptionally detail-oriented.
  • Proactive and self-sufficient with the ability to anticipate needs and work independently.
  • Strong problem-solving and follow-through skills.
  • Comfortable managing tight deadlines and multiple priorities simultaneously.
  • Outgoing, professional, and confident interpersonal style.
  • Willingness to take ownership of tasks with a “no task is too small” mentality.
  • Associate’s or Bachelor’s degree strongly preferred.

Additional Details:

  • Occasional overtime may be required, primarily surrounding quarterly board meetings.
